This position requires candidates to be bilingual (English/Vietnamese) and fluent in both written and verbal communication.

Medical Receptionist (Care Facilitator) — Key Role

The Medical Receptionist, also known as a Care Facilitator, is often the first point of contact for our patients. This role involves serving as a patient advocate, delivering exceptional customer service, and fostering trusting relationships.

Responsibilities include checking patients in and out, providing administrative support, and ensuring smooth clinic operations. Success in this role stems from a strong commitment to service excellence and patient care.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet patients, record information, check-in/out, schedule appointments, and conduct lobby checks to maintain organization and cleanliness.
  • Schedule Management: Manage PCP and Specialist schedules, ensuring top patients are scheduled every 13 days.
  • Administrative Support: Use computer systems to input patient data, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Conduct "love" calls, mail birthday and greeting cards for special occasions.
  • Communication: Answer calls, take detailed messages, and clearly relay information about ChenMed personnel.
  • Insurance & Payments: Verify insurance details, collect copays, and assist with scheduling follow-ups and referrals.
  • Patient Comfort & Advocacy: Escort patients to exam rooms and ensure their well-being.
  • Quality & Reporting: Act as a HEDIS champion, monitor hospitalizations, and report on patient status.
  • Customer Feedback: Present satisfaction surveys during checkout and assist with service recovery if needed.
  • Team Participation: Join daily huddles to share patient updates.
  • Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.

Additional Responsibilities

  • Maintain confidentiality of patients' personal and medical information.
  • Review and verify patient data for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified at the manager’s discretion.

Knowledge, Skills & Abilities

  • Exceptional customer service skills with a passion for serving others.
  • Working knowledge of medical insurance and EMR systems.
  • Understanding of ChenMed’s products, services, policies, and procedures.
  • Proficiency in handling phones, computers, and software applications.
  • Professional and courteous communication with colleagues and patients.
  • High attention to detail and accuracy in data entry and reports.
  • Strong verbal and written communication skills.
  • Excellent listening skills and a positive attitude.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Willingness to travel up to 10% regionally and locally.
  • Fluency in both English and Vietnamese, spoken and written.

Education & Experience

  • High school diploma or equivalent required.
  • Graduation from a nationally accredited Medical Assistant program preferred.
  • Minimum of 1 year experience in a medical clinic or similar setting required.
  • BLS certification for Healthcare Providers preferred.

Compensation & Benefits 💼

Pay Range: $14.30 - $20.42 per hour

This range reflects base hourly or full-time annual salary. Final pay depends on experience, education, location, and other factors. The role may include bonuses or commissions.
