NMDP Is Hiring A Workup Specialist

Donor Management Coordinator

Join our team to coordinate all aspects of donor workup and ensure a seamless experience for donors, from initial assessment to post-donation follow-up. This role is vital in facilitating life-saving stem cell transplants with compassion and precision. 🌟

Position Summary

This position manages the comprehensive donor workup process, including emotional well-being assessment, information sessions, health screenings, physical examinations, stem cell collection, follow-up, and documentation.

Accountabilities

Workup Coordination 🤝

  • Assess donor needs, concerns, and impact: Develop personalized support and coordination relationships, respecting cultural and age-related needs.
  • Schedule & conduct: Health history screening questionnaires and donor information sessions.
  • Manage physical exam & clearance: Oversee scheduling, review results, support eligibility determinations, and facilitate donor clearance with Medical Services and stem cell collection centers.
  • Complete donation tasks: Manage blood samples, autologous collections, verify prescriptions, and ensure timely infectious disease testing.
  • Communicate progress: Maintain contact with the Case Manager and donor, complete documentation within timelines, and manage case forms.
  • External sites & coordination: Work with third-party exam sites, including agencies trained to administer filgrastim.
  • Filgrastim administration & check-ins: Coordinate injections, conduct daily donor check-ins, and partner with clinicians if reactions occur.
  • Post-donation monitoring: Contact donors at scheduled points to assess recovery, arrange blood sampling, and determine if medical intervention is needed.
  • Barrier removal & adverse event management: Resolve issues, plan contingencies, and manage adverse events as needed.
  • Documentation & confidentiality: Ensure accurate records, maintain confidentiality, and facilitate communication between donors and recipients.

Protocol Adherence 📋

  • Compliance: Conduct workup and collection activities strictly under IND or research protocols as directed.
  • Training: Provide protocol training to third-party providers involved in donor activities.

Continuous Process Improvement 🔄

  • Implement strategies: Adopt systems and practices to enhance departmental efficiency and quality.

Continuing Education 📚

  • Attend: NMDP-sponsored meetings and trainings; some travel may be required.
  • Stay current: Maintain up-to-date knowledge of policies and industry standards.

Other Duties As Required

  • Compliance: Follow SOPs, NMDP standards, CFR, FDA guidance, and OSHA guidelines.
  • Team collaboration: Work with team members to optimize donor experience and meet transplant center expectations.
  • Participation: Engage in project teams and provide backup support as needed.
  • Additional responsibilities: Perform other duties related to donor management as assigned.

Required Qualifications 🎯

  • Computer skills: Intermediate proficiency in Microsoft Office, with excellent organizational skills.

  • Communication skills: Excellent written and oral abilities to discuss sensitive information.

Education & Experience 🎓

  • Bachelor’s degree: in a healthcare-related field or equivalent combination of education and experience.
  • Experience: Minimum of three years working with patients, clients, or customers within healthcare, nonprofit, or business settings.

Other Requirements 🚗

  • Occasional overnight travel (up to two nights per year).
  • Availability via NMDP-provided cell phone for donor emergencies.

Preferred Qualifications ⭐

  • Experience with medical terminology, case-note documentation, and medical histories.
  • Patient interaction or care experience in healthcare settings.
  • Knowledge of regulated environments, including GTP, GMP, and GDP standards.

Compensation & Benefits 💼

We are committed to transparency and fairness. The anticipated salary range for this role is $70,000 - $80,000, commensurate with experience and qualifications.
