- Education: University degree required; a background in travel, tourism, hospitality, or related fields is a plus.
- Language Skills: Fluent in written and verbal English; conversational Italian.
- Experience: Demonstrable experience in service, hospitality, concierge, or coordination roles managing bookings, suppliers, or client communication. Travel industry experience is not mandatory.
- Availability: Willing to be available during clients’ stays, including evenings and weekends during peak season (primarily US-based clients).
- If based in Italy: Must already hold, or be willing to open, a VAT account (Partita IVA). This is mandatory for Italy-based hires.

We are a luxury travel provider specializing in villa rentals and bespoke itineraries across Italy. Our mission is to craft impeccable guest experiences from the initial booking through to on-the-ground support during their stay.
This role blends operations and concierge responsibilities. You will:
- Coordinate bookings, liaise with property owners and activity providers, and prepare client travel documents.
- Support guests during their stay, handling last-minute requests and issues via our app with calm professionalism.
While the booking process is handled primarily by our Travel Planners, you will become the friendly and capable voice ensuring everything runs smoothly during travel.
🔑 Key Responsibilities
Pre-trip Tasks
- Book and reconfirm villas, transfers, experiences, and other services.
- Coordinate with property owners and suppliers to confirm details and special requests.
- Prepare detailed, professional travel documents (itineraries, vouchers, welcome packs).
- Maintain accurate records in our CRM system.
- Identify and flag potential risks or supplier issues to the Travel Planner.
During Travel
- Act as the primary point of contact with clients during their stay via our app.
- Respond promptly to last-minute requests, bookings, or changes.
- Resolve issues swiftly — appliance breakdowns, weather disruptions, missed transfers — by coordinating with owners and suppliers.
- Keep the Travel Planner informed of any significant developments or issues.
Low Season & Additional Support
- Assist with property inspections, updating supplier documentation, sourcing new providers, and improving processes.
- Use these quieter months to deepen destination knowledge and contribute to the company’s growth and excellence.

- Conversational Italian: Handling calls and emails with Italian-speaking partners confidently.
- Technological Fluency: CRM, Office tools, messaging apps, digital platforms. Zoho experience is a plus.
- Problem-Solving: Think quickly and act practically to resolve issues.
- Flexibility: Adaptability to US client hours, including evenings and weekends.
- Self-Motivation & Discipline: Ability to work remotely with autonomy.
- Team Collaboration: A humble, cooperative approach with the small, dynamic team.
🌟 Backgrounds That Map Well
While experience in the travel sector is appreciated, it’s not essential. Relevant backgrounds include:
- Luxury hotel concierge, guest relations, or front desk roles.
- Reservations, guest experience, or villa management in luxury rentals.
- Customer service or VIP support roles in premium brands.
- Event coordination or live logistics roles.
- Executive or personal assistants for high-net-worth individuals.
- Luxury retail with clienteling responsibilities.
