Join our dynamic team as a Japanese Bilingual Project Admin Assistant and play a vital role in supporting innovative startups within a vibrant incubation center in Palo Alto, California. 📍

Overview

We are looking for an organized, proactive, and detail-oriented professional to facilitate daily operations, coordinate events, engage with the community, and manage administrative activities in a collaborative environment. If you thrive in a fast-paced startup setting and have excellent communication skills in Japanese and English, we want to hear from you!

Industry & Location

  • Industry: Startup Incubation / Innovation Support / Government-Related Programs
  • Location: On-site – Palo Alto, California

Work Schedule & Overtime

Enjoy a flexible schedule with two options:

  • Option 1:
    • Monday morning (4 hours)
    • Tuesday & Thursday (8 hours each)
  • Option 2:
    • Monday afternoon (4 hours)
    • Wednesday & Friday (8 hours each)

🕘 Work hours are between 9:00 AM – 6:00 PM with an unpaid lunch break. Overtime is generally not required, but advance notice will be provided if needed.

Required Qualifications

  • Language Skills: Business-level Japanese and English communication
  • Environment: Comfortable working in a startup and collaborative setting
  • Skills: Interpersonal, communication, and presentation skills
  • Proactivity: Ability to interact proactively with facility users, guests, and event participants
  • Knowledge: Understanding of Japanese business culture and government practices
  • Organization: Strong multitasking and organizational abilities
  • Professionalism: High ethics and awareness of business compliance
  • Tools: Experience with Slack, Google Workspace, and social media platforms
  • Interest: Passion for startups, entrepreneurship, or innovation ecosystems
  • Teamwork: Ability to work effectively with diverse communication styles

Key Responsibilities

Operations & Front Desk Support

  • Greet visitors and serve as the main point of contact
  • Respond to inquiries via email, website, LinkedIn, and other channels
  • Coordinate scheduling, facility access, and daily operations

Community & Member Support

  • Assist with member recruitment and application processes
  • Manage onboarding, contracts, and member records
  • Maintain organized databases and documentation
  • Respond professionally and promptly to member inquiries

Event Coordination

  • Support planning and execution of events, workshops, and exhibitions
  • Handle logistics, setup, registration, and post-event follow-up
  • Assist with venue rentals and internal programs
  • Track attendance, feedback, and engagement metrics

Facility & Logistics Management

  • Maintain a clean and professional environment
  • Manage office supplies, inventory, and vendors
  • Handle incoming mail, packages, and equipment reservations

Communications & PR

  • Manage content on LinkedIn and other social platforms
  • Support website updates and digital communications
  • Promote community activities and member achievements

Administrative Support

  • Prepare reports, presentations, and internal documents
  • Organize digital assets and maintain records
  • Assist with general administrative tasks

Additional Duties
