Customer Service & Patient Access Coordinator

Join our team as a vital link in providing exceptional patient service and ensuring smooth clinic operations! This role involves greeting visitors, managing patient registration, and supporting various administrative functions with a focus on excellent communication and reliability.

Position Summary

The Customer Service & Patient Access Coordinator answers phones, greets visitors, assists patients, and directs clinic callers. You will guide, screen, and register new patients, help them obtain services, and provide information on funding eligibility and patient access processes. Additionally, you'll perform clerical duties to support our daily business activities.

Essential Functions of the Job

  • Patient Registration: Assemble all data and documents required for complete patient registration, including insurance verifications and authorizations.
  • Data Entry: Input current patient demographic information into the Epic system accurately.
  • Customer Service: Provide excellent service and communicate effectively with internal staff and external visitors.
  • Financial Responsibilities: Assess patient financial responsibility, collect co-pays and deductibles at check-in, and document funding information.
  • Funding & Eligibility: Use payer resources and websites to explore eligibility, and initiate referrals for insurance such as Medi-Cal, Medicare, Managed Care, or Commercial plans. Determine eligibility for Sliding Fee Discounts.
  • Issue Resolution: Collaborate with all departments to resolve patient inquiries, identify barriers, and resolve issues.
  • Record Keeping: Enter fiscally related data into databases and maintain accurate fiscal records and files.
  • Information & Customer Support: Respond to inquiries regarding patient access policies, research customer problems, and provide guidance.
  • Urgent Services: Recognize the need for immediate and urgent care situations.
  • Visitor Assistance: Offer guidance and support to visitors and patients.
  • Equipment Maintenance: Assist with the care and upkeep of departmental equipment and supplies.

Additional Duties and Responsibilities

  • Adhere to departmental policies, quality assurance standards, and safety protocols.
  • Adapt to organizational changes and new functions.
  • Participate in educational and in-service programs and attend scheduled meetings.
  • Perform other duties as assigned by the Patient Services Supervisor.

Job Requirements

Experience Needed

  • Minimum of one year customer service experience or a successful internship at San Ysidro Health.
  • Preferred: One year of experience in a medical setting, particularly at a front desk or reception.

Educational Background

  • High School diploma or GED equivalent.

Skills & Communication

  • Language Skills: Bilingual in English and Arabic required.
  • Good handwriting and strong verbal communication skills are essential.

Technical Knowledge & Equipment

  • Verbal ability for clear, tactful explanations.
  • Use of multi-line phones, CRT/PCs, and other office equipment.

Working Conditions & Physical Requirements

  • May need to lift approximately 25 lbs.
  • Primarily sitting during shifts.
  • Potential evening and weekend hours and clinics outside the primary location may be required.
