Job Duties
- Provide administrative support to departmental physicians, supervisors, managers, and administrators, including managing telephone and fax messages promptly and professionally 📞
- Offer consistent support/coverage as required by departmental policies
- Guide patients, families, and visitors to appropriate medical treatment areas with sensitivity and care 🚶♂️💙
- Assist with distributing reports, records, and messages while maintaining patient confidentiality 🔒
- Manage internal and external supply inventories
- Maintain a presence on-site during business hours
- Handle billing functions by posting patient charges and payments in Micro MD
- Coordinate, review, and prepare clinic charts for patient appointments following departmental policies
- Keep the office neat, orderly, and safe 🧹🛡️
- Support medical record requests and other administrative tasks for managers and district managers
- Maintain, file, and organize charts and reports accurately, ensuring all forms and dictations are completed properly 📁
- Copy materials, manage mail, and update forms as needed
- Respond to inquiries from corporate, physicians, patients, families, attorneys, and other departments 🗣️
- Implement QIP principles for organizational change and system improvements
- Operate and maintain office equipment such as fax machines, copiers, and computers
- Sort and distribute departmental mail, faxes, and messages promptly 📬
- Perform miscellaneous duties as assigned or necessary
- Interview patients, collect information, and input data into the system
- Verify patient paperwork matches records and insurance details in the system
- Explain paperwork to patients, ensuring understanding, and witness signatures 📝
- Scan and upload documents to the Electronic Health Record (EHR) system
Minimum Requirements
- High school diploma or GED
- At least 6 months of medical administrative experience in a physician’s office setting
- Proficiency with computer systems including data entry, Word, Outlook, etc.

- Ability to handle multiple tasks effectively
- Strong telephone and computer skills
- Patient management skills with tact and professionalism
- Excellent communication and organizational abilities
- Understanding of medical office procedures
- Ability to interact effectively with physicians, patients, and team members
- Capable of triaging patients and taking basic vitals such as blood pressure, pulse, and respiration
Physical & Mental Requirements
Must be able to sit, stand, walk, reach overhead, bend at the waist, kneel, climb stairs/ladders, extend arms, and lift up to 20 lbs.
