Galápagos Conservancy Is Hiring An Operations Officer
Galápagos Conservancy is seeking a dedicated Operations Officer to support smooth, efficient, and compliant organizational functions aligned with our mission to protect the Galápagos Islands.
Position Summary
The Operations Officer collaborates with the Vice President of Operations to oversee internal operations, including human resources, grants, financial management, legal compliance, and organizational systems, ensuring alignment with organizational values and strategic goals.
Key Responsibilities
🌱 Human Resources Support
- Hiring & Onboarding:
- Coordinate with the VP and department leads to keep Terms of Reference and Job Descriptions current, creating new ones as needed.
- Assist in drafting job descriptions and posting open positions.
- Support initial candidate screenings to ensure a smooth recruitment process.
- Help set up and procure equipment and software for new hires.
- Implement onboarding plans for new staff members.
- Organizational Culture & Employee Engagement:
- Coordinate annual staff retreats, managing logistics and activities with leadership input.
- Document and facilitate professional development plans for staff.
- Oversee annual review and updates to the Employee Handbook.
📝 Organizational Systems & Internal Operations
- Develop and document Standard Operating Procedures (SOPs).
- Support core administrative systems, including office operations, IT infrastructure, file management, data security, and vendor relationships.
🔍 Grants Implementation
- Collaborate with the Ecuador team to manage the entire grants lifecycle, from selection to closure.
- Ensure effective use of the grants database [SurveyMonkey Apply] for applications, reporting, and financial tracking.
- Provide administrative support to grants-related staff as needed.
🛡️ Compliance, Legal & Risk Management
- Ensure organizational policies are followed.
- Assist with charitable registrations, insurance, and organizational filings.
- Manage documentation of contracts and legal agreements.
- Implement risk management policies and maintain related documentation.
💰 Finance & Budget Coordination
- Support compliance with financial policies.
- Assist the accounting team with financial tasks as required.
📋 Administrative Support
- Provide general support to the Operations team, including preparing reports.
- Propose process improvements to enhance efficiency and reduce redundancies.
Requirements
- Over 5 years of Human Resources experience.
- Fluent in English and Spanish.
- Bachelor's degree or higher in organizational management, HR, business administration, or a related field.
- Experience working with international teams, ideally in Latin America/Ecuador.
- Comfortable working in remote environments with remote teams.
- Strong passion for conservation efforts.
