📝 Position Overview

AKAM is looking for a highly organized, service-driven On-Site Assistant Property Manager to support daily operations at a large luxury condominium. This role involves close collaboration with the Property Manager, Board of Managers, residents, and building staff to uphold exceptional service standards, operational efficiency, and compliance with regulations.

The ideal candidate will have extensive experience in NYC residential property management, excellent communication skills, and the ability to handle multiple priorities in a fast-paced environment. Fluency in Cantonese and proficiency in reading and writing traditional Chinese characters are required for effective client communication.

🔑 Key Responsibilities

🏢 Property Operations

  • Assist the Property Manager in overseeing daily building operations, ensuring functionality and resident satisfaction.
  • Coordinate maintenance, service requests, and preventive maintenance programs.
  • Monitor building systems and resolve operational issues promptly.
  • Conduct regular inspections to identify maintenance needs and maintain common areas.

🤝 Resident Relations

  • Be the primary contact for unit owners and residents, handling inquiries, service requests, and concerns professionally.
  • Support move-ins, move-outs, renovations, and alteration agreements.
  • Maintain accurate records of communications and service requests.
  • Collaborate with building staff—including concierge, porters, maintenance, and superintendents—to ensure smooth daily operations.
  • Coordinate vendors and contractors for repairs, maintenance, and projects.
  • Track vendor contracts, insurance certificates, and compliance documentation.
  • Assist with invoice processing, purchase orders, and budget management.
  • Keep building files, contracts, and compliance documentation organized.
  • Prepare management reports for owners and the Board of Managers.

📋 Board & Governance Support

  • Assist in preparing Board packages, meeting materials, and reports.
  • Attend Board meetings when requested and follow up on action items.
  • Help enforce condominium by-laws, house rules, and policies.

🛡️ Compliance & Regulations

  • Support adherence to NYC regulations, including DOB, FDNY, and Local Laws.
  • Maintain records for building inspections, safety programs, and deadlines.

🎓 Qualifications

  • Mandarin-speaking candidates are highly preferred to assist with translation.
  • 2–5 years of residential property management experience, especially in NYC condominiums or cooperatives.
  • Strong knowledge of NYC building operations and regulatory compliance.
  • Excellent organization, communication, and customer service skills.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Proficiency with property management software (e.g., Yardi, BuildingLink, AppFolio) and Microsoft Office.
