Position Overview: Medical Receptionist (Care Facilitator) 🩺

The Care Facilitator is often the first point of contact for patients and serves as a patient advocate, delivering exceptional customer service. This role involves checking patients in and out, providing administrative support, and fostering trusting relationships with our patients.

Key Responsibilities

• Patient Interaction: Greet, check-in, check-out, and schedule appointments while maintaining a welcoming environment and ensuring lobby organization and cleanliness. 😊
• Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring top 40 patients are scheduled every 13 days.
• Administrative Tasks: Use computer systems to add patient data, print forms, respond to emails, and generate new patient packets. Ensure contact information is accurate.
• Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate special occasions.
• Communication & Verification: Answer phones, take detailed messages, verify insurance, and collect copays. Assist with scheduling follow-up and referrals.
• Patient Support: Escort patients to exam rooms, ensuring their comfort and wellbeing.
• Quality & Reporting: Act as HEDIS champion, monitor hospitalization reports, and provide visibility on patient care needs.
• Customer Service & Feedback: Present satisfaction surveys during checkout and escalate issues to provide immediate service recovery. 📋
• Team Participation: Join daily and weekly huddles to update on patient details.
• Transportation Coordination: Manage transportation logistics, including Uber/Lyft rides, medication and grocery deliveries, and behavioral challenges.

Additional Responsibilities

• Maintain confidentiality of patient records and personal information.
• Review and verify patient data for completeness and accuracy.
• Transmit correspondence via mail, email, or fax.
• Perform other duties as assigned or modified at manager’s discretion.

Knowledge, Skills, and Abilities 💡

• Exceptional customer service skills and a passion for helping others
• Knowledge of medical insurance and electronic medical records (EMR) systems
• Familiarity with ChenMed products, policies, and procedures
• Proficiency in operating phones, computers, and basic IT systems
• Effective communication with patients, colleagues, and staff in a professional manner
• Attention to detail to ensure report and data accuracy
• Strong verbal and written communication skills
• Excellent listening skills and a positive attitude
• Proficiency in Microsoft Office (Excel, Word, Outlook)
• Willingness to travel regionally up to 10%
• Fluency in English and Vietnamese (both spoken and written)

Education & Experience Requirements 🎓

• High School diploma or equivalent required
• Graduation from a recognized Medical Assistant program preferred
• Minimum of 1-year experience in a medical clinic or similar environment
• BLS certification for Healthcare Providers preferred

Compensation & Benefits 💰

The pay range for this position is $14.30 - $20.42 per hour. Final compensation is determined by experience, education, and location. This role may also include bonuses or commissions.
