Position Overview: Medical Receptionist (Care Facilitator) 🩺
The Care Facilitator is often the first point of contact for patients and serves as a patient advocate, delivering exceptional customer service. This role involves checking patients in and out, providing administrative support, and fostering trusting relationships with our patients.
Key Responsibilities
- Patient Interaction: Greet, check-in, check-out, and schedule appointments while maintaining a welcoming environment and ensuring lobby organization and cleanliness. 😊
- Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring top 40 patients are scheduled every 13 days.
- Administrative Tasks: Use computer systems to add patient data, print forms, respond to emails, and generate new patient packets. Ensure contact information is accurate.
- Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate special occasions.
- Communication & Verification: Answer phones, take detailed messages, verify insurance, and collect copays. Assist with scheduling follow-up and referrals.
- Patient Support: Escort patients to exam rooms, ensuring their comfort and wellbeing.
- Quality & Reporting: Act as HEDIS champion, monitor hospitalization reports, and provide visibility on patient care needs.
- Customer Service & Feedback: Present satisfaction surveys during checkout and escalate issues to provide immediate service recovery. 📋
- Team Participation: Join daily and weekly huddles to update on patient details.
- Transportation Coordination: Manage transportation logistics, including Uber/Lyft rides, medication and grocery deliveries, and behavioral challenges.
Additional Responsibilities
- Maintain confidentiality of patient records and personal information.
- Review and verify patient data for completeness and accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified at manager’s discretion.
Knowledge, Skills, and Abilities 💡
- Exceptional customer service skills and a passion for helping others
- Knowledge of medical insurance and electronic medical records (EMR) systems
- Familiarity with ChenMed products, policies, and procedures
- Proficiency in operating phones, computers, and basic IT systems
- Effective communication with patients, colleagues, and staff in a professional manner
- Attention to detail to ensure report and data accuracy
- Strong verbal and written communication skills
- Excellent listening skills and a positive attitude
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Willingness to travel regionally up to 10%
- Fluency in English and Vietnamese (both spoken and written)
Education & Experience Requirements 🎓
- High School diploma or equivalent required
- Graduation from a recognized Medical Assistant program preferred
- Minimum of 1-year experience in a medical clinic or similar environment
- BLS certification for Healthcare Providers preferred
Compensation & Benefits 💰
The pay range for this position is $14.30 - $20.42 per hour. Final compensation is determined by experience, education, and location. This role may also include bonuses or commissions.
