About the Role
The Medical Receptionist (Care Facilitator) is often the first point of contact for our patients, serving as their advocate and delivering outstanding service. This role involves checking patients in and out, providing administrative support, and ensuring a smooth experience for everyone who walks through our doors.
Key Responsibilities
- Patient Interaction: Greet, check-in, check-out, and schedule appointments, maintaining an organized and welcoming lobby.
- Schedule Management: Act as gatekeeper for PCP and specialist schedules, ensuring top priority patients are seen every 13 days.
- Administrative Support: Use computer systems to update patient info, print forms, respond to emails, and prepare New Patient packets.
- Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate milestones.
- Communication: Answer phones, record messages accurately, and relay information to the appropriate team members.
- Insurance & Payments: Verify insurance details, collect copays, and assist with follow-up schedules and referrals.
- Patient Comfort & Escorting: Escort patients to exam rooms and ensure their well-being.
- HEDIS & Reporting: Monitor and provide visibility for HEDIS needs, and report on hospitalizations and census data.
- Customer Service & Escalation: Present surveys during check-out and handle escalations to ensure immediate resolution.
- Team Participation: Contribute to daily and weekly huddles sharing key patient information.
- Transportation Coordination: Manage patient transportation, medication deliveries, grocery runs, and arrange Uber/Lyft rides as needed.
Additional Duties
- Maintain confidentiality of patient information and medical records.
- Review and verify patient data for accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned by management.
Qualifications: Knowledge, Skills & Abilities
- Exceptional customer service with a passion for helping others 😊
- Knowledge of medical insurance and electronic medical record (EMR) systems 💻
- Familiarity with ChenMed’s products, services, policies, and procedures
- Proficient in operating phones, computers, and basic IT systems
- Excellent communication (verbal and written) and active listening skills 🗣️
- Detail-oriented with a strong focus on accuracy 📊
- Positive, professional attitude and team player
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Willingness to travel locally up to 10%
- Fluency in both English and Vietnamese (spoken and written) 🌐
Education & Experience Requirements
- High school diploma or equivalent required 🎓
- Graduation from a recognized Medical Assistant program preferred
- Minimum 1 year of medical clinic experience required
- BLS certification for Healthcare Providers preferred
Compensation & Benefits
The hourly pay range for this position is $14.30 - $20.42. Final compensation depends on experience, education, location, and other factors, and may include bonuses or commissions.
