Position: Medical Receptionist (Care Facilitator)

This role is often the first point of contact for patients, serving as their advocate and delivering exceptional customer service. You will check patients in and out, provide administrative support, and build trusting relationships through every interaction.

Key Responsibilities

  • Patient Interaction: Greet patients, check-in/check-out, schedule appointments, and keep lobby organized.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring key patients are scheduled every 13 days.
  • Administrative Tasks: Use computers to update patient info, print forms, respond to emails, and prepare new patient packets.
  • Patient Engagement: Make "love" calls, send birthday and greeting cards to patients, and celebrate special events.
  • Communication: Answer phones, record messages accurately, and relay information about ChenMed personnel.
  • Insurance & Payment: Verify insurance, collect copays, and assist with follow-up or referral scheduling.
  • Patient Comfort & Support: Escort patients to exam rooms, ensuring their comfort and wellbeing.
  • HEDIS & Reports: Act as HEDIS champion, monitor hospitalizations, and report on key metrics.
  • Customer Service & Feedback: Present satisfaction surveys, address concerns, and support service recovery.
  • Team Collaboration: Participate in daily/weekly huddles and coordinate transportation services, including Uber/Lyft rides.

Additional Duties

  • Maintain confidentiality of patient records and personal information.
  • Review and verify patient information for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities

  • Exceptional customer service and a passion for serving others 💖
  • Familiarity with medical insurance and electronic medical record (EMR) systems
  • Knowledge of ChenMed’s products, services, standards, policies, and procedures
  • Proficiency with phones, computers, and basic IT systems
  • Professional and courteous communication skills
  • Attention to detail and accuracy in reports and data
  • Outstanding verbal and written communication
  • Strong listening skills and a positive attitude 😊
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel up to 10% regionally
  • Bilingual fluency in English and Vietnamese (spoken and written)

Education & Experience

  • High school diploma or equivalent required
  • Medical Assistant program completion preferred
  • Minimum 1 year of experience in a medical clinic or similar environment
  • BLS certification for Healthcare Providers is a plus

Compensation & Benefits

Pay Range: $14.30 – $20.42 per hour

Final compensation depends on experience, education, location, and other relevant factors. Bonuses or commissions may also be available.
