Position Overview: Medical Receptionist (Care Facilitator) ✨

The Medical Receptionist, also known as a Care Facilitator, is one of the first contacts a patient has with ChenMed. This role serves as a patient advocate, delivering exceptional customer service, and supporting smooth clinic operations. Candidates must be bilingual (English/Vietnamese), fluent in both written and verbal communication.

Key Responsibilities

  • Patient Interaction: Greet, check-in, check-out, schedule appointments, and record patient information while ensuring the lobby remains organized and clean.
  • Schedule Management: Act as gatekeeper for PCP and specialist schedules, ensuring top 40 patients are scheduled every 13 days.
  • Administrative Support: Use computer systems to update patient info, print forms, respond to emails, and prepare new patient packets.
  • Patient Engagement: Make “love” calls, send birthday greetings, and celebrate special occasions with cards.
  • Communication: Answer phones, take detailed messages, and relay information about ChenMed staff and services.
  • Insurance & Scheduling: Verify insurance details, collect copays, and assist with follow-ups and referrals.
  • Patient Comfort & Advocacy: Escort patients to exam rooms and ensure their well-being.
  • Quality & Reporting: Serve as HEDIS champion, monitor hospitalizations, and report relevant data.
  • Customer Service: Present surveys during checkout and escalate issues when necessary.
  • Team Participation: Contribute to daily/weekly huddles, providing updates on patients and clinic needs.
  • Additional Duties: Manage transportation logistics, medication deliveries, and coordinate Uber/Lyft rides for patients.

Other Responsibilities

  • Maintain confidentiality of patient records.
  • Review and verify patient information for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform duties as assigned or modified by management.

Knowledge, Skills & Abilities 🌟

  • Exceptional customer service skills and a passion for helping others.
  • Familiarity with medical insurance and electronic medical records (EMR) systems.
  • Understanding of ChenMed’s products, services, standards, policies, and procedures.
  • Proficiency in operating phones, computers, and basic IT systems.
  • Professional communication with patients and team members.
  • Attention to detail for accurate data entry and report generation.
  • Strong listening skills and positive attitude.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability and willingness to travel regionally up to 10%.
  • Fluency in both English and Vietnamese.

Education & Experience Requirements 🎓

  • High school diploma or equivalent required.
  • Graduation from a recognized Medical Assistant program preferred.
  • At least 1 year of experience in a medical clinic or similar setting required.
  • BLS certification for Healthcare Providers is preferred.

Compensation & Benefits 💼

The hourly pay range is $14.30 - $20.42. Final salary depends on experience, education, location, and other factors. This role may be eligible for bonuses or commissions.
