Position Overview

The Medical Receptionist (Care Facilitator) is often the first contact a patient has with our ChenMed family. This role serves as a patient advocate, providing exceptional customer service and ensuring a smooth check-in/check-out process. The Care Facilitator checks patients in and out, provides basic administrative support, and builds trusting relationships with patients.

🌟 Essential Duties & Responsibilities

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments while recording accurate information. Conduct lobby checks to maintain organization and cleanliness.
  • Schedule Management: Serve as the gatekeeper for PCP and Specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • System Utilization: Use computer systems to add patient info, print forms, respond to emails, and generate onboarding packets. Ensure all contact info is current and accurate.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate milestones.
  • Communication: Answer phones, take detailed messages, and relay information clearly to staff and patients.
  • Insurance & Appointments: Verify insurance coverage, collect copays, and assist with follow-up or Specialist referrals.
  • Patient Escort: Guide patients to exam rooms, ensuring comfort and well-being.
  • HEDIS & Hospitalization Monitoring: Support HEDIS initiatives, report hospitalizations, and provide visibility on key metrics.
  • Customer Satisfaction: Present surveys during checkout and escalate issues for immediate resolution if needed.
  • Team Collaboration: Participate in daily huddles, sharing relevant patient updates.
  • Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.

Additional Responsibilities

  • Protect patient confidentiality and medical records.
  • Review and verify patient information for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned.

Knowledge, Skills & Abilities

  • Exceptional customer service and a passion for serving others 😊
  • Working knowledge of medical insurance and EMR systems
  • Familiarity with ChenMed’s products, policies, and procedures
  • Proficiency with phones, computers, and basic IT tools
  • Professional and courteous communication skills
  • Attention to detail to ensure data accuracy
  • Outstanding verbal and written communication
  • Strong listening skills and a positive attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to travel locally up to 10%
  • Fluency in both English and Vietnamese (written and verbal) 💬

Education & Experience Requirements

  • High school diploma or equivalent 📜
  • Graduation from a recognized Medical Assistant program (preferred)
  • At least 1 year of experience in a medical clinic or similar setting
  • BLS certification for Healthcare Providers (preferred)

Compensation & Benefits

Pay Range: $14.30 – $20.42 per hour 💰

The final salary will depend on experience, education, location, and other factors. Bonuses or commissions may also be available.
