About the KinderSmile Foundation
KinderSmile Foundation is a nonprofit organization committed to ensuring underserved children, perinatal women, and families have access to comprehensive dental care and education about oral hygiene. Since 2007, our mission is to eliminate preventable dental diseases, especially among economically disadvantaged children.
We operate three Dental Homes located in Bloomfield, Newark, and Trenton, New Jersey. Our dedicated staff and volunteers strive to deliver high-quality care and respect to every patient, regardless of insurance status. Through community-based education, dental services, and professional support, we aim to create a future where all children enjoy healthy smiles and good oral health.
Position Summary
This is a part-time, non-exempt role. The bilingual (Spanish-speaking) Front Desk Patient Coordinator will provide exceptional patient support, ensuring smooth operation at our Newark center. Key duties include greeting patients, appointment management, insurance verification, billing, and maintaining an organized workspace. The coordinator will collaborate closely with the dental team and adhere to office protocols, contributing significantly to a positive patient experience.
📌 Wearing clean scrubs is required to maintain a professional and hygienic appearance. The hourly salary ranges from $17 to $21, depending on experience.
Work Location & Schedule
This position is based on-site at:
- KinderSmile Community Oral Health Center – Newark, NJ
Occasional workdays at:
- KinderSmile Community Oral Health Center – Bloomfield, NJ
Initial Work Schedule:
- Monday: 9am–6pm
- Wednesday: 9am–6pm
- Friday: 9am–6pm

What You’ll Do
General Responsibilities
- Greet patients, families, and caregivers with respect and professionalism.
- Maintain a neat and organized front desk area.
- Answer phones, return calls, and check messages.
- Manage supply inventory and report low stock.
- Familiarize yourself with office policies, including OSHA and HIPAA regulations.
- Be punctual, participate in daily Huddles, and ensure the dental environment is clean.
- Attend staff meetings and training sessions.
Patient Support
- Warmly greet patients upon arrival.
- Pre-screen patients, family members, and caregivers for COVID-19.
- Conduct patient registration intake.
- Address patient concerns with empathy and professionalism.
- Schedule and confirm patient appointments.
- Keep provider schedules up to date.
Insurance Management
- Assist walk-out patients.
- Verify insurance eligibility.
- Submit pre-authorizations and dental claims daily.
- Input insurance payments and reconcile unpaid EOBs.
- Print Eaglesoft reports and maintain the daily Patient Log Sheet.
Billing & Administration
- Prepare and submit monthly billing for private patients.
- Create monthly reports for insurance billing and payments.
- Reconcile In-Kind patient accounts.
- Review weekly outstanding EOBs.
Qualifications
Education
- High school diploma or equivalent.
Experience
- At least 1 year working in a dental office or healthcare setting (preferred).
- Experience with Eaglesoft dental software is a plus.
Technical Skills
- Fluent in Spanish (reading and speaking).
- Excellent communication and phone skills.
- Familiarity with dental software and electronic health records.
Other Critical Skills
- Organized, punctual, and reliable.
- Team-oriented with a friendly personality.
- Enjoys working with children.
Working Conditions & Physical Requirements
While primarily administrative, occasional assistance in clinical settings may occur, requiring contact with patients and potential exposure to dental procedures. The role involves multitasking across various administrative duties.
Physical requirements include sitting and standing for extended periods, occasional lifting (up to 20 pounds), manual dexterity, and good vision and hearing. You may sometimes need to assist in clinical areas, involving bending, reaching, and standing.
