Salary: $50,000 per year 💵
About the Role
As a Receptionist, you will provide essential clerical and administrative support to our staff and customers. Your daily activities will include answering calls, greeting visitors, entering data, and handling various office duties to ensure smooth operations.
Responsibilities
- Customer Sign-In & Assistance: Sign in customers on electronic sign-in sheets, assess their reasons for visit, and guide them accordingly.
- Data Entry: Enter customer information into databases accurately and efficiently.
- Office & Customer Flow Management: Develop plans for on-site events, manage telephones, maintain the office calendar in Microsoft Outlook, handle emails, disburse mail, type meeting notes, and order supplies.
- Knowledge of Opportunities: Stay informed about employment and training programs to provide accurate guidance.
- Customer Traffic Organization: Use electronic sign-in sheets and organize customer flow.
- Calendar Management: Print and distribute the Center Recruitment Calendar and Workshop Calendar.
- Career Development Support: Facilitate career development activities, host virtual events, workshops, and orientations.
- Customer Outreach: Follow up with customers, invite them to appointments, and confirm employment status.
- Workshop Scheduling: Book customers for workshops as needed.
- Inventory & Supplies: Manage inventory for technology and PPE items, refill copy machines, toner, and printer paper.
- Office Knowledge: Maintain familiarity with all staff and office functions and processes.
- Additional Tasks: Perform other duties as they arise to support the team.
Qualifications
- Bilingual in Spanish is required 🌐
- Associate's Degree is required 🎓
- Excellent communication skills to engage with professionals and provide outstanding customer service
- Experience answering phones courteously and professionally
- Strong interpersonal skills and a positive attitude
- Ability to multi-task and meet multiple deadlines effectively
- Knowledge of office equipment and Microsoft Office applications
- High-volume data entry experience with accuracy
- Willingness to learn and take initiative
- Previous office experience required
