We are hiring: Office Operations Manager
In this pivotal role, you will ensure our daily office activities run seamlessly while delivering an outstanding client experience. You will oversee office protocols, coordinate the team, manage logistics, support leadership, and foster a professional and positive environment.
Our office is located at 440 Speedwell Ave, Morris Plains, NJ.
Requirements
Required Skills & Qualifications:
- Bilingual (Spanish-English): Fluent verbal and written communication skills
- Availability: Willing to work Saturdays when necessary
- Education: Bachelor’s degree in Business Administration, Management, or related field (preferred)
- Experience: Proven office management or similar role
- Skills: Excellent organization, leadership, and communication abilities
- Attention to Detail: Strong problem-solving skills
- Team & Client Management: Experience leading teams and handling client interactions
- Tech Proficiency: Google Workspace, Microsoft Office, Slack, Monday.com, case management systems (e.g., CampLegal)
- Customer Service: Dedication to exceptional service and supporting immigrant communities
Preferred Qualifications:
- Knowledge of immigration processes, acronyms, and application requirements
- Ability to multitask and adapt swiftly to change
- Positive, proactive attitude with a "can-do" approach
Key Responsibilities
Office Management & Operations
- Oversee daily logistics, including package handling, opening/closing procedures, and maintenance
- Maintain an organized, welcoming space for clients and staff
- Manage office supplies, inventory, and relationships with vendors (IT, cleaning, landscaping)
- Conduct process audits and implement improvements for efficiency
- Assist upper management with administrative tasks related to operations
Client Experience & Communication
- Welcome and serve as the first point of contact for clients, ensuring professionalism and warmth
- Provide timely updates and connect clients with the appropriate departments
- Deliver outstanding customer service through in-person and phone interactions, making clients feel valued and supported
Team Coordination & Leadership
- Supervise in-office staff and coordinate schedules
- Support paralegals and attorneys in daily tasks, ensuring efficient processing
- Train new hires and uphold firm protocols and core values
- Monitor staff performance and KPIs, addressing concerns professionally
- Foster teamwork and maintain a positive, respectful workplace culture
