Job Description
We are seeking a dependable and organized HR Assistant to manage daily HR operations and provide front desk support within a busy HR department. This role is essential in serving as a primary point of contact for employees, applicants, and visitors, while assisting with onboarding, documentation, scheduling, and general HR duties. 🤝
The ideal candidate will have at least 1 year of HR or administrative experience, excellent communication skills, and a knack for multitasking in a fast-paced environment. A professional, patient, and detail-oriented demeanor is key, especially when supporting individuals with varying levels of technical proficiency.
Key Responsibilities
- First point of contact for employees, applicants, and visitors entering the HR office
- Assist with onboarding by collecting employment documents and guiding new hires through processes
- Coordinate pre-employment activities such as screenings, verifications, and scheduling onboarding appointments
- Support recruiting efforts by coordinating interviews, communicating with applicants, and tracking candidate info
- Maintain employee records electronically and in paper form
- Data entry, document scanning, and HR system updates
- Assist employees with HR forms, record updates, and inquiries
- Handle incoming calls and correspondence for the HR department
- Prepare onboarding materials and employment documentation
- Support compliance and administrative projects as needed
- Provide clerical support to the HR team
Qualifications
- 1-2+ years of human resources and administrative support experience
- Fluency in Spanish is required
- Experience with onboarding, recruiting, or employee documentation is preferred
- Strong verbal and written communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Experience with HR systems like ADP or HRIS is a plus
- High professionalism and ability to handle confidential information
- Organizational skills with the ability to multitask and prioritize effectively
- Calm, patient, dependable, and team-oriented
- High School Diploma required; Associate’s or Bachelor’s degree preferred
