Position Overview
The Property Administrator will be responsible for providing first-class on-site property management services and supporting the Property Manager with various administrative and operational tasks. Key responsibilities include light invoicing, data entry, work order coordination, office administration, and delivering excellent customer service. Strong organizational skills and a proactive approach are essential to effectively support building operations and tenant needs.
🌟 Essential Duties & Responsibilities
- Tenant & Internal Communication: Serve as the primary administrative contact for tenants and internal departments, responding promptly and professionally to inquiries and coordinating resolutions.
- Lease Administration: Prepare and distribute lease documents such as Lease Commencements, Expirations, and Move-in/Move-out paperwork with accuracy and meticulous recordkeeping.
- Building Services Coordination: Manage schedules, service logs, and documentation for janitorial, security, landscaping, and other building-related services.
- Recordkeeping: Maintain organized tenant and vendor files, including digital files in SharePoint and physical records.
- Office Support: Answer calls, greet visitors, accept deliveries, manage conference room bookings, and oversee office supplies.
- Event Support: Assist with organizing special events such as broker events, tenant gatherings, and internal functions.
- Work Order Management: Receive and enter work order requests, monitor progress, and track completion for reporting purposes.
- Financial Documentation: Maintain records for purchase orders, service contracts, and insurance certificates.
- Tenant Relations: Support tenant engagement mainly through administrative coordination and communication.
- Financial Support: Assist with financial reports, data entry, and budget tracking for property management and accounting teams.
- Invoice Processing: Code and process invoices via the Accounts Payable Workflow System, ensuring accuracy and proper documentation.
- Accounts Tracking: Support monthly aging reports, accounts receivable tracking, and follow-up activities.
- Tenant Billing: Prepare tenant statements, ledgers, and related charge documents with precision.
- Staff Uniform Orders: Order and track uniforms for engineering staff as needed.
- Additional Duties: Perform various administrative and operational tasks as assigned to support the property team.
🎓 Qualifications
- 1-2 years of administrative or property management-related experience, focusing on office support, coordination, and data entry.
- High school diploma or GED equivalent required.
- Experience in commercial real estate, property management, or hospitality is preferred.
- Valid driver’s license with proof of insurance required if driving is necessary.
- Proficiency in Microsoft Office (Outlook, Word, Excel); familiarity with Yardi, Procure to Pay, and SharePoint is a plus.
- Strong communication skills—both written and verbal—with the ability to stay organized and proactive in a fast-paced environment.
