Accounting Administrative Coordinator

Location & Working Hours
- Location: Oahu, Hawaii - (Hybrid)
- Working Hours: Monday through Friday, 8:00 am – 5:00 pm
Occasional work outside these hours may be required.
Primary Responsibilities
Reporting to the General Manager of Corporate Planning & Administration, you will oversee all operations within the Corporate Accounting & Finance Department. Your duties include managing accounts receivable and payable, auditing, and preparing financial reports. You will also establish and maintain the organization’s accounting principles, practices, and procedures to ensure fiscal accuracy and compliance.
Essential Duties
- Oversee accounting operations: Plan, direct, and coordinate all accounting functions in accordance with established systems and generally accepted accounting principles.
- Financial data management: Manage consolidation of financial data for accurate reporting, including general ledger maintenance and report analysis.
- Financial reporting: Prepare internal and external financial statements, budgets, analysis reports, and other periodic reports on a monthly, quarterly, and annual basis. Assist with special reports for upper management and regional headquarters as needed.
- Performance analysis: Develop, analyze, and interpret statistical and accounting data to assess profitability and performance against budgets.
- Cash flow & reconciliation: Monitor cash flow status, manage available funds, and prepare tour estimates and reconciliations.
- Audit coordination: Coordinate internal and external audit activities, including scheduling, analysis, and responding to inquiries.
- Regulatory compliance: Prepare necessary forms and reports to comply with tax laws and other regulatory standards.
- Operational improvements: Assess current accounting processes and recommend new procedures for efficiency and accuracy.
- Internal controls & insurance: Enforce internal control procedures, oversee insurance policies (auto, property, liabilities), manage renewal documents, and support tour operations with insurance binding.
Other Duties
- Assist in other departments during peak periods as needed.
- Perform additional duties as assigned by management.
Supervisory Responsibilities
Lead and motivate subordinate staff, providing guidance, training, and evaluations to foster career development and achieve departmental goals.
Education & Experience
- Bachelor’s degree in accounting or finance from an accredited institution.
- CPA certification required.
- Minimum of 7 years of progressively responsible accounting experience, including at least 5 years in a managerial role.
- Tour operation experience and industry knowledge preferred.
- Bilingual proficiency in English and Japanese is highly desirable.

- Strong leadership competencies: financial management, leadership, customer knowledge, people development, communication, and vision.
- Solid understanding of business and organizational planning, strategic resource allocation, and operational coordination.
- Advanced skills in computerized accounting systems and familiarity with company-specific software.
- Proficiency in standard computer systems, software applications, email, and office equipment.
