Qualifications

  • Experience: 5+ years in office operations, management, or as an Executive Assistant within a high-growth startup environment.
  • Leadership: Strong leadership abilities with experience collaborating with global teams. Confident presence to engage employees at all levels.
  • Technical Skills: Proficient with workplace tools such as Mac, Google Suite, Microsoft Office, A/V equipment, and more.
  • Financial Knowledge: Experience managing budgets, expense tracking, and vendor negotiations.
  • Organizational Skills: Exceptional attention to detail; a self-starter thriving in a fast-paced, ever-changing environment.
  • Problem-Solving & Communication: Excellent judgment, proactive attitude, and outstanding verbal and written communication skills for internal and external stakeholders.

  • Experience in hyper-growth, global startup environments 🚀
  • Event coordination, travel, and calendar management skills ✈️
  • Familiarity with international teams and cross-cultural collaboration 🌍

A Day in the Life & How You'll Make an Impact

  • Office Face & Receptionist: Be the welcoming presence for employees, leadership, and visitors, ensuring professionalism and confidentiality at all times.
  • Office Operations: Oversee daily activities of our NYC office, aligning operations with company culture and values.
  • Vendor Management: Handle relationships with cleaning, security, HVAC, landlords, and other vendors, negotiating contracts for cost-effective services.
  • Event Coordination: Organize team meals, in-office gatherings, and company events in collaboration with Employee Experience, People, and DEI teams.
  • Office Supplies & Equipment: Manage requests for supplies, anticipate needs, and proactively resolve issues.
  • Calendar & Travel Support: Assist leadership with scheduling, travel arrangements, and special projects.
  • Onboarding & Hospitality: Support new employee onboarding, visiting leadership, space booking, and creating an inclusive environment.
  • Financial Oversight: Monitor site budgets, collaborate with Finance on reporting and forecasting.
  • Compliance & Technology: Ensure safety protocols are followed, oversee workplace tech, security, Wifi, and building access.

About Melio USA

  • Compensation: Competitive packages with an annual base salary range of $90,000 - $105,000.
