Location & In-Office Expectation

Location: New York City (NYC) 🏙️

In-Office Requirement: 5 days per week

Qualifications

  • Experience: 5+ years in office operations, office management, or as an Executive Assistant within a high-growth startup environment
  • Leadership: Strong ability to collaborate with global teams, confident presence, and engaging leadership skills
  • Technical Skills: Proficient with Mac, Google Suite, Microsoft Office, A/V equipment, and workplace tools
  • Budget & Vendor Management: Experience managing budgets, expense tracking, and negotiating with vendors
  • Organizational Skills: Exceptional attention to detail, proactive mindset, and ability to anticipate office needs
  • Communication & Judgment: Excellent verbal and written skills, problem-solving, and sound judgment

  • Experience in hyper-growth, global startup environments
  • Event coordination, travel, and calendar management experience
  • Familiarity with international teams and cross-cultural collaboration
  • Knowledge of workplace health and safety regulations
  • Language skills: Hebrew and/or Spanish a plus

A Day in the Life & Impact 🌟

  • Front Desk & Representation: Be the welcoming face of our NYC office, managing interactions with employees, leadership, and visitors with professionalism and confidentiality
  • Office Oversight: Oversee daily operations, ensuring a smooth, functional, and culturally aligned workspace
  • Vendor Relations: Manage relationships with cleaning, security, HVAC, and other vendors, including contract negotiations
  • Event & Supplies Coordination: Organize team meals, in-office gatherings, and events; maintain stocked kitchens and supply needs
  • Employee Support: Facilitate equipment, furniture, and office resource requests; proactively address needs
  • Calendar & Travel: Assist leadership with scheduling, travel arrangements, and special projects
  • Onboarding & Environment: Support new hires, foster an inclusive environment, and reflect our mission and values
  • Financial & Regulatory Compliance: Track office budgets, ensure safety protocols, and manage workplace technology and security systems

About Melio 🇺🇸

  • Compensation: Competitive salary from $90,000 to $105,000, with benefits
