Role Overview
The Welcome Coordinator at Oak Street Health plays a vital role in creating an inclusive environment for every visitor. As the friendly face of our clinic, you will be essential in making positive first and last impressions on our patients. Your administrative skills will support our team in delivering an unmatched patient experience, providing the best care, and making Oak Street a great place to work. Responsibilities include scheduling appointments, managing phone calls, handling administrative tasks like faxing and mailing, and ensuring the clinic runs smoothly. Being friendly, flexible, and proactive are key traits for this role.
Welcome Coordinators are members of our Service Team, report to the Practice Manager, and focus on delivering high-touch assistance to our patients and community members.
Core Responsibilities
- 🤝 Welcoming patients and guests with a warm attitude
- 📝 Conducting visit check-in and assisting with forms
- 💵 Collecting co-pays
- 🖥️ Updating patient information in electronic medical records
- 📅 Scheduling and rescheduling appointments within the electronic system
- 📞 Managing phone lines—answering calls, taking messages, and outbound communication
- 📠 Managing faxes in the electronic fax platform
- 🧹 Maintaining cleanliness of Welcome and Community Room areas
- 🔄 Occasionally floating to other clinics in the region
- 🔧 Performing additional duties as needed
What We’re Looking For
Required Skills & Qualifications
- 💻 Strong computer skills with basic knowledge of Google Suite
- 📞 Professional phone etiquette
- 🗣️ Fluency in Spanish, Polish, Russian, or other languages spoken by community members (when necessary)
- 🇺🇸 US work authorization
Strongly Preferred
- 🤝 Experience in a customer service role
- 🎓 Some college coursework or degree

Position Details
Weekly Hours: 40 hours
Employment Type: Full-time
Pay Range: $17.00 – $34.15 per hour
- The actual salary will depend on experience, education, and location. This role is eligible for bonuses, commissions, or incentive programs.
