Welcome Coordinator

Role Overview
The Welcome Coordinator at Oak Street Health creates an inclusive environment for all visitors and makes a positive first and last impression on our patients. As the face of our clinic, Welcome Coordinators ensure smooth operations and support our goal of delivering an exceptional patient experience. They handle a variety of administrative tasks such as scheduling, managing communication, and maintaining the clinical environment. Friendly, flexible, and attentive, Welcome Coordinators are vital to our service team, reporting to the Practice Manager, with a mission to serve our community and patients daily.
Core Responsibilities
- 😊 Welcoming patients and guests
- 📝 Conducting visit check-ins and assisting with required forms
- 💵 Collecting co-pays
- 🖥️ Updating patient information in electronic medical records
- 📅 Scheduling and rescheduling appointments within EMR platform
- 📞 Managing phone lines—answering, messaging, and outbound calls
- 📠 Managing faxes in the electronic fax platform
- 🧹 Maintaining cleanliness of Welcome and Community Rooms
- 🚗 Floating to other centers in the region when required
- ⚙️ Performing other duties as assigned
What We’re Looking For
Required Skills & Qualifications
- Strong computer skills with basic knowledge of Google Suite
- Professional phone etiquette
- Fluency in Spanish, Polish, Russian, or other relevant languages
- Legal authorization to work in the U.S.
Strongly Preferred
- Experience in a customer service environment
- Some college education

- Welcoming and nurturing demeanor towards older adult patients
- High level of integrity and professionalism
Details & Compensation
Estimated Weekly Hours: 40 hours
Time Type: Full-time
Pay Range: $17.00 — $31.30 per hour
The actual salary will depend on experience, education, location, and other relevant factors. This position may be eligible for additional bonuses, commissions, or incentives.
