Role Description 🎯
The Welcome Coordinator at Oak Street Health plays a vital role in fostering an inclusive environment for all visitors. As the welcoming face of our clinic, you'll ensure a positive first and last impression on our patients. Your administrative support helps our broader teams deliver unmatched patient care and create a great workplace environment. Key responsibilities include scheduling, managing communication, and ensuring smooth clinic operations. Flexibility and friendliness are essential qualities for success in this role.
Reporting & Team
Welcome Coordinators are part of our dedicated Service Team, reporting directly to the Practice Manager. Our main goal is to provide seamless, high-touch service to our patients and community members daily.
Core Responsibilities 📋
- Welcoming patients and guests with warmth
- Conducting visit check-ins and assisting with forms
- Collecting co-pays
- Updating patient information in electronic medical records
- Scheduling and rescheduling appointments within electronic records systems
- Managing inbound and outbound phone calls, including taking messages
- Handling fax communications via electronic platforms
- Maintaining cleanliness of Welcome and Community Room areas
- Occasional float to other centers within the region
- Other duties as assigned
What We're Looking For
Required Qualifications ✅
- Strong computer skills with basic knowledge of Google Suite
- Professional phone etiquette
- Fluency in Spanish, Polish, Russian, or other languages spoken by our communities
- U.S. work authorization

- Experience in a customer service environment
- Some college education or equivalent

Work Details & Compensation 💼
Hours per week: 40 hours
Position type: Full-time
Pay Range: $17.00 – $31.30 per hour
This range reflects the base salary and may vary based on experience, education, location, and other factors. The role is also eligible for a CVS Health bonus, commission, or short-term incentives.
