Job Description
I. Position Summary
Perform diversified general clerical, secretarial, and receptionist duties in accordance with established policies and guidelines. You will work under the supervision of the Director of Nursing (DON) and demonstrate a strong commitment to the philosophy and goals of the unit and the Hebrew Rehabilitation Center.
II. Position Responsibilities
- Communicate respectfully: Engage with patients, families, visitors, and healthcare professionals with sensitivity and care.
- Maintain confidentiality: Protect patient and unit information diligently.
- Prioritize tasks: Provide prompt, efficient service to meet timely demands.
- Answer and screen calls: Manage telephone communications, relay messages, and screen patient mail, referring appropriately. Act as unit receptionist, guiding visitors and staff.
- Prepare correspondence and reports: Draft, edit, and organize various documents; order supplies efficiently.
- Perform clerical duties: Data entry, report generation, memo drafting, and minuting meetings using computer skills.
- Transport patients: Assist with moving patients to clinics and other designated areas within the Center.
- Manage patient records: Ensure accuracy and completeness; oversee and assist with the monthly MDS process.
- Coordinate appointments and activities: Schedule patient visits, unit meetings, and other unit events.
- Maintain records and bulletin boards: Keep unit documentation current and organized.
- Transcribe and verify doctor’s orders: Work with licensed nurses to manage medication and treatment details.
- Assist scheduling: Collaborate with the Director of Nursing for staffing and scheduling needs.
- Label equipment: Ensure all patient care equipment is correctly tagged.
- Assist with staffing and time sheets: Manage electronic time entries and changes.
- Support educational activities: Help orient new staff, prepare educational materials, and train staff in computer skills.
- Follow policies and participate in initiatives: Adhere to departmental procedures, and engage in education, meetings, and quality programs.
- Exemplify professionalism: Uphold values aligned with the mission of the Hebrew Rehabilitation Center.
- Perform other duties: Carry out additional responsibilities as assigned or directed.
III. Qualifications
- High school diploma or equivalent, plus post-high school specialized training
- Strong secretarial and clerical skills, including proficiency with relevant computer applications and medical terminology
- Previous secretarial experience preferred
- Successful completion of HRC orientation and competency assessment
- Annual participation in hazards communication, infection control, fire safety, and elder abuse education programs
