Responsibilities 📝
- Open and scan incoming mail 📬
- Participate in call queue management (answering basic questions about Transfert Express, providing claim updates, directing calls to appropriate departments or teams, as needed) 📞
- Prepare and send total loss files (all required documents per provincial/territorial guidelines) 📂
- Initial calls to creditors (gather payment info, guarantee letters, registration copies) 📞
- Initial calls to owners/insureds (inform about file submission and review client-specific requirements) 📋
- Follow-up calls to owners/insureds (missing or corrected documents) 🔄
- Follow-up calls to creditors (requests made during initial contact) 🔄
- Send revised files to owners/insureds as required ✉️
- Ensure compliance with internal cycle times and performance standards ⏱️
- Review incoming mail to verify documents meet provincial/territorial regulations ✅
- Issue “OK to Pay” notifications to insurers after final compliance review ✅
- Track and process shared inbox items to ensure tasks are completed per company policy, deadlines, and contractual obligations 📩
- Perform other duties as assigned by management 🎯
- Collaborate with the Canadian team and observe Canadian holidays 🇨🇦
Qualifications 🎓
- At least 1 year of customer service experience in an office environment
- High school diploma or equivalent
- Proficiency with standard office equipment and Microsoft Office applications
- Ability to identify and evaluate vehicle registration documents per company and provincial/territorial guidelines
- Experience working effectively with provincial/territorial licensing authorities (e.g., Ministry, Service Ontario, SAAQ) and creditor organizations
- Strong problem-solving skills
- Ability to multitask efficiently
- Basic numeric keyboard skills
- Ability to thrive in a dynamic environment
- Excellent written and oral communication skills
- Exceptional customer service attitude with a positive outlook
- Basic math skills
- Ability to prioritize and delegate workflow
- Self-motivated and able to work independently or in a team
- Fluent in reading and writing in both English and French
- Valid driver's license
- Occasional overtime as needed
- Bilingual proficiency in English and French
