🎯 Objectives of this Role
Our company's Business Service Centers (BSCs) are strategically located across the Americas, Europe, and Asia, ensuring the timely and efficient delivery of standardized, global financial processes. The BSCs oversee a broad spectrum of financial services and processes spanning various business divisions and markets.
The Meeting Services Support Specialist is responsible for managing the end-to-end process of congress meeting preparations—from initial creation to final closure. This includes vendor management, purchase order creation, contract negotiations, compliance reviews, reconciliation, and payment processing. Ensuring adherence to company policies and controls is critical in this role.
📋 Job Description and Responsibilities
- Operational Support: Execute end-to-end global meeting and congress services within agreed SLAs, ensuring accurate information review, vendor setup, event closure, and PO processing.
- Contract & Agreement Preparation: Draft and prepare contracts for Healthcare Professionals, Organizations, and Speakers using standardized templates.
- Financial Processes: Support reconciliation reviews, payments, and year-end activities, including accruals and reversals, in compliance with financial policies.
- Stakeholder Collaboration: Work closely with Business Units, Travel, Meetings, Regional Leads, Finance partners, and Meeting Planning Agencies (MPA) for smooth operations.
- Process Documentation & Improvement: Maintain and update Standard Operating Procedures (SOPs), champion new procedures, and support process re-engineering for continuous improvement.
- Issue Resolution & Professionalism: Handle inquiries promptly, resolve operational issues efficiently, and demonstrate meticulous attention to detail with colleagues, clients, and suppliers.
- Additional Duties: Perform any other responsibilities aligned with the role's scope and purpose as requested.
🎓 Qualifications
Education
Bachelor’s Degree in Business Administration, Science, Economics, Accounting, Finance, or related fields.
Skills & Experience
- Minimum of 3 years working in accounting or P2P/O2C/R2R processes.
- Intermediate MS Excel skills (Excel, Power Apps, Power BI, PowerPoint, SharePoint).
- Fluent in Mandarin and/or English; additional languages like Bahasa Malaysia or Bahasa Indonesia are advantageous.
- Preferred skills include Lean Six Sigma, Macro, Power BI, UI Path Automation.
- Strong detail orientation, process improvement mindset, and understanding of finance, internal controls, and compliance.
- Ability to work independently and collaboratively in a fast-paced, global environment with high accuracy and timeliness.
- Excellent communication, organization, and interpersonal skills with a proactive attitude.
Preferred Experience
- Experience with SAP (Concur, Purchase Orders, Payment Portals), Ariba, ServiceNow, CVENT, Veeva Salesforce.
- Work experience in Big 4 or similar audit environments preferred.
- Understanding of meeting types, congresses, travel, and payments, with knowledge of internal procedural guidelines and policies.
- Experience supporting global setups and working with various financial and operational tools.
