Senior Executive Assistant - Bilingual Japanese (NYC) 📈

Join a prestigious financial institution in Midtown Manhattan as a Bilingual Japanese Executive Assistant for a 3-month temporary assignment through June. Support executive operations and ensure seamless management in a dynamic environment.

About the Role

The Senior Executive Assistant will perform a variety of secretarial and administrative duties to assist the General Manager, Managing Directors, and department staff. Responsibilities include scheduling, report preparation, correspondence, document management, and more. Provides backup support and helps coordinate projects as needed.

Primary Responsibilities

  • Event Coordination: Plan and coordinate business-related functions such as meetings, conferences, VIP visits, and receptions at the Midtown office, with some work-from-home days.
  • Travel Arrangements: Obtain approvals for business trips, book flights and hotels, modify arrangements as needed, and process expense reports.
  • Report Preparation: Assist in preparing management reports, conduct reconciliations, circulate documents for approval, and maintain records.

Requirements 💼

  • Languages: Excellent verbal and written communication skills in both English and Japanese, with the ability to follow instructions accurately in both languages.
  • Communication & Documentation: Capable of preparing professional emails, memos, and forms with clarity and effectiveness.
  • Organization & Planning: Strong skills to complete tasks accurately and on time, even under pressure and with multiple interruptions. Ability to prioritize effectively.
  • Customer Service: Demonstrated commitment to quality service, ability to respond respectfully and helpfully to internal and external inquiries, and maintain clear communication channels.
  • Teamwork & Diplomacy: Work cooperatively in teams and independently, exercising tact, discretion, and confidentiality. Proactively build relationships with various departments.
  • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint), databases, and office equipment. Fast learner of internal systems and tools.
  • Flexibility: Willingness to work variable hours based on workflow needs.
  • Experience & Education: Minimum of 3 years’ relevant experience and a Bachelor's Degree.
