Position: Business Development Associate (Bilingual Mandarin/English)

Department: BD

Reports to: VP, BD

Location: Malvern, PA, USA

Supervisory Responsibility: None

FLSA Status: Exempt

Position Type: Full Time

Travel: Approximately 2 times per year ✈️

Expected Hours: 40 hours/week, M-F 9-5, in-office with flexible communication with China

🌟 Job Overview

As a Business Development Associate, you will support sales and cross-border operations, facilitating communication and coordination between our U.S. and China teams to drive client satisfaction and streamline processes.

📝 Key Responsibilities

Sales Support & Order Handling

  • Act as a primary contact for customer inquiries, orders, and follow-up 🤝
  • Prepare and manage accurate quotations ensuring timely delivery ⏱️
  • Coordinate order fulfillment with Sales, Production, QC/QA, Logistics, and Finance teams
  • Supervise domestic and international shipments, including customs documentation 🚚
  • Resolve product or delivery issues, communicating corrective actions effectively
  • Maintain CRM records and generate sales/operational reports 📊
  • Assist with laboratory sample coordination, testing, and process improvements
  • Support warehouse operations, including inventory reconciliation
  • Contribute to trade show planning and post-event follow-up

Cross-Border Operations & Coordination

  • Serve as liaison between U.S. and China teams for smooth communication 🔄
  • Coordinate workflows to prevent delays in inventory and order processing
  • Communicate product availability, pricing, MOQs, and lead times
  • Gather documentation to support customer, regulatory, and audit requirements 📄
  • Manage technical inquiries related to methods, specifications, and stability

🎯 Qualifications & Preferences

Required Skills & Qualifications

  • Proficiency in Mandarin 🀄️
  • Bachelor’s degree

Preferred Experience & Education

  • Familiarity with technical documentation such as COAs, SDSs, and GMP compliance
  • Understanding of global shipping regulations and documentation
  • Educational background in Chemistry is a plus, but not required
  • 0–3 years of experience in business development, sales ops, or account management (B2B preferred)

Skills & Attributes

  • Strong written and verbal communication and negotiation skills 🎙️
  • Analytical thinking with the ability to manage multiple projects
  • Attention to detail, self-motivated, and adaptable to a fast-paced environment

🛠️ Tools & Technology

  • Microsoft Office 365 (Word, Excel, PowerPoint, Teams, Outlook)
  • CRM experience is a plus

🏢 Work Environment & Physical Requirements

  • Ability to remain stationary, operate equipment, and reach items as needed
  • Lift up to 30 lbs regularly, occasionally up to 50 lbs
  • Effective communication skills for exchanging information
