Position Overview

Title: Business Development Associate (Bilingual Mandarin/English) 🇨🇳🇺🇸

Department: Business Development (BD)

Reports to: VP, BD

Location: Malvern, PA, USA

Supervisory Responsibility: None

FLSA Status: Exempt

Position Type: Full Time

Travel Requirements: 2 times per year

Expected Hours: 40 hours/week, M-F 9-5, in-office in Malvern, PA (with occasional communication with China, 2-3 nights/week, flexibility during the day)

Key Responsibilities 💼

  • Sales Support & Order Handling:
    • Serve as a key contact for customer communications (orders, inquiries) and ensure timely follow-up
    • Prepare and manage accurate, on-time quotations
    • Coordinate order fulfillment with Sales, Production, QC/QA, Logistics, and Finance teams
    • Supervise domestic and international shipments, including customs documentation
    • Resolve product or delivery issues, communicating corrective actions to customers
    • Maintain CRM records and generate sales/operational reports
    • Support laboratory sample coordination, testing, and process optimization
    • Assist with warehouse operations and inventory reconciliation
    • Support trade show activities with pre-show planning and post-event follow-up
  • Cross-Border Operations & Coordination:
    • Act as liaison between U.S. and China teams to ensure smooth communication and priority alignment
    • Manage workflows to prevent delays in inventory and order processing
    • Communicate product availability, pricing, and lead times
    • Gather documentation for customer, regulatory, and audit purposes
    • Coordinate technical inquiries between clients and manufacturing teams

Qualifications & Preferred Skills 🌟

  • Proficiency in Mandarin language skills
  • Bachelor’s degree required
  • Experience with technical documentation (COAs, SDSs, GMP compliance) is a plus
  • Knowledge of global shipping processes and regulatory documentation preferred
  • Understanding of chemistry is advantageous but not necessary
  • 0-3 years in business development, sales operations, or account management (B2B experience preferred)
  • Strong communication and negotiation skills (both written and verbal)
  • Analytical mindset with the ability to multitask effectively
  • Detail-oriented, self-motivated, thriving in fast-paced environments

Tools & Technology 🛠️

  • Microsoft Office 365 (Word, Excel, PowerPoint, Teams, Outlook)
  • CRM software experience is a plus

Work Environment & Physical Requirements 🏢

  • Sit and operate equipment as required
  • Lift up to 30 lbs regularly; occasional lifts up to 50 lbs
  • Effective communication and information exchange capabilities
