Starting Salary & Benefits 💼
- Salary: $75,000 per year

Responsibilities
Order Processing
- Source industrial parts for internal operations, including field service and contract manufacturing
- Respond to RFQs, liaise with vendors via email and phone for pricing and lead times
- Manage vendor relationships to ensure timely delivery, quality, and cost effectiveness; establish new vendor contacts as needed
- Process vendor forms, W9s, and resale certificates
- Coordinate with Accounting to input new items and vendors into QuickBooks
- Prepare, send invoices to customers, and process vendor bills
- Handle quality issues, RMAs, vendor credits, and maintain communication between customers and vendors
- Prepare quotes, purchase orders, and sales orders; meet monthly with Accounting on order status
- Regularly update company Excel trackers with RFQs, shipment statuses, and communicate delays or issues
Parts Processing
- Track shipments and manage delivery to the factory or to other locations, including Japan
- Coordinate status updates between U.S. and Japan operations
- Inspect inbound packages, repackage, photograph, document, and relabel parts
- Organize open orders until shipment readiness
Packing & Logistics
- Manage inventory of shipping supplies
- Safely package items for domestic and international shipping, including hazardous materials
- Coordinate with third-party shippers and freight forwarders for shipments
- Obtain quotes, process invoices, negotiate rates, and maintain shipping relationships
- Prepare customs documentation, including HTS codes, for international shipments
- Provide backup support for shipping, customs, and related operations
Inventory Support
- Monitor inventory levels based on forecasts and request quotes from vendors
- Place purchase orders and track shipments
- Receive, inspect, and document parts; process vendor payments; add parts to inventory
- Maintain documentation on company servers
- Coordinate with Accounting to update inventory systems, add new parts, and remove obsolete items
Requirements & Skills
Educational & Certification Qualifications
- Degree in Accounting, Supply Chain, Library Sciences, or Business Administration from an accredited institution
- QuickBooks certification preferred
- Excel proficiency or training preferred
- Japanese language skills a plus
Key Skills
- Excellent customer interaction skills — professional communication via phone, email, and in person
- Strong negotiation capabilities for price, delivery, and quality assurance
- Mathematical and accounting proficiency
- Fluency in English; Japanese language skills are beneficial
- Computer literacy: Windows 11, Word, Excel, Outlook, QuickBooks
- Ability to articulate technical details clearly
- Interpersonal skills and team collaboration
- Effective time management and organizational skills
- Strong business etiquette and communication abilities
- Ability to coordinate information exchange between clients and partners
Physical & Mental Requirements 💪🧠
- Willingness to travel domestically and internationally up to 25%
- Ability to lift packages up to 50 lbs. and move freely within the workspace
- Ability to stand, walk, climb, kneel, sit, reach, lift, push, and carry regularly
- Proficiency with office tools and electronic devices (phones, computers, fax, etc.)
- Strong concentration, initiative, stress management, adaptability, and sound judgment
- Primarily an office-based role with extended periods of desk work
- Participation in occasional evening teleconferences, including shift work when coordinating with Asia
