Position Details

  • Location: Frederick, MD 📍
  • Compensation: $21.50 - $25.00/hour 💰
  • Hours: 8-hour workdays, 40 hours/week (Office hours from 8:30 AM to 7:00 PM, schedules may vary) 🕗

Essential Functions 📝

  • Comply with CARF, COMAR, HIPAA, and State regulations
  • Greet and check in patients for appointments
  • Maintain a professional, clean front desk environment
  • Conduct patient reminder calls 48 hours prior to scheduled appointments
  • Verify authorization and insurance information in the EMR, including co-pay collection
  • Schedule future appointments accurately via EMR
  • Follow up on missed appointments, track no-shows, and enter data into the system
  • Create and upload medical records for new patients in EMR
  • Manage medication refill requests, including prior authorizations and Maryland Medicaid requirements
  • Update authorizations daily in EMR and notify relevant staff
  • Prepare appointment notes and record vital signs
  • Assist Medical Director with administrative duties
  • Coordinate case assignments and discharges with Site Director and Therapists
  • Serve as the primary contact for referring vendors; communicate referral statuses
  • Maintain compliance with intake and consent forms in EMR
  • Scan, upload, and organize referral documents and referral logs
  • Provide interpretation services for prescribers as needed
  • Report monthly referral tallies to supervisors and Site Director
  • Ensure client, staff, and agency confidentiality at all times
  • Respond within 24 hours to communications from clients, families, referral sources, and staff
  • Sort and distribute mail and correspondence
  • Assist with workload at other office locations as necessary

Non-essential Functions ⭐

  • Support prescribers as needed
  • Assist Facilities Manager with office supply ordering
  • Perform other duties as assigned

Requirements & Qualifications ✅

  • Associates degree, relevant work experience, or health-related certification
  • Minimum of five (5) years of related experience
  • Ability to take vital signs
  • Bilingual (English/Spanish) required
  • Excellent customer service and communication skills (verbal and written)
  • Experience with multi-line phone systems
  • Strong team collaboration skills
  • Basic knowledge of healthcare insurance claims, referrals, and patient responsibilities
  • Proficiency with computers and office equipment
  • Previous healthcare customer service experience preferred
  • Experience with EMR/scheduling systems preferred
  • Organized, detail-oriented, and adept at multitasking in a fast-paced environment
