We specialize in treating complex cases with a blend of conventional psychiatry, functional medicine, classical Chinese medicine, and advanced diagnostics.

The Role
We are seeking a full-time Patient Care Coordinator to serve as the warm, professional, and operational backbone of our Bryn Mawr, PA office. This role is far from a traditional front desk position — you will be the primary contact guiding patients from their first inquiry through ongoing care, ensuring every interaction reflects our clinical excellence.
Schedule: Monday–Friday, full-time, in-office (Bryn Mawr location)
What You'll Do
Patient Experience & Communication
- Serve as the first point of contact for prospective and current patients via phone, email, and in-person.
- Conduct warm, informative initial inquiry calls — explaining services, fees, and our distinct approach.
- Greet patients on arrival, manage check-in/check-out, and create a calm, welcoming environment.
- Proactively follow up between visits — appointment reminders, lab result coordination, supplement orders, and care plan check-ins.
- Handle patient concerns and complaints with empathy, professionalism, and discretion.
Scheduling & Coordination
- Manage clinician calendars across multiple providers using AdvancedMD EHR.
- Coordinate complex patient journeys from intake to labs, follow-ups, and ongoing care.
- Schedule ancillary services such as acupuncture, neurofeedback, and lab draws.
- Coordinate with referring physicians and outside labs to ensure seamless care.
Administrative & Financial Responsibilities
- Collect payments, handle cash-pay billing, and process superbills for insurance reimbursements.
- Verify completion of intake forms prior to visits.
- Maintain accurate patient records within AdvancedMD.
- Manage supplement inventory, patient orders, and dispensary workflow.
- Coordinate billing to address outstanding balances.
Office Operations
- Open and close the office daily, overseeing reception, exam rooms, and shared spaces.
- Order office and clinical supplies as needed.
- Assist clinicians and staff with administrative tasks.
- Identify operational inefficiencies and contribute ideas for process improvements.
Who We're Looking For
Required Qualifications:
- 2+ years experience in a healthcare front office, concierge medicine, medspa, or premium service setting.
- Excellent verbal and written English communication skills.
- Strong computer literacy, including EHR systems, scheduling software, Microsoft Office, and email.
- Polished, warm, professional demeanor — comfortable engaging with high-net-worth and professional patients.
- Highly organized, detail-oriented, and able to work calmly under pressure.
- Reliable, punctual, and committed to a long-term role.
Strongly Preferred Qualifications:
- Bilingual in English and Mandarin — a significant portion of our patient base prefers Mandarin communication.
- Experience with AdvancedMD or similar EHR systems.
- Background in integrative medicine, functional medicine, psychiatry, or wellness.
- Experience with cash-pay or concierge practice billing.

Compensation & Benefits
Salary: Based on experience and language skills:
- $48,000 – $54,000 for qualified English-speaking candidates
- $54,000 – $60,000 for bilingual Mandarin/English candidates
