Fang LLC is expanding! We are seeking a detail-oriented bilingual (Mandarin & English) professional to support our finance, HR, and recruiting operations in New Jersey and across multiple locations.

Position Summary 📝

We are looking for a Part-Time Finance & HR / Recruiting Coordinator to assist with daily finance administration, HR documentation, recruiting coordination, employee records, payroll preparation, and cross-location communication.

This onsite role based in our 07458, New Jersey office involves regular remote collaboration with teams in California, Pennsylvania, and China. The ideal candidate will demonstrate strong organizational skills, confidentiality, clear communication, initiative, and the ability to coordinate work across different regions and time zones.

Work Location 🏢

  • Onsite at our New Jersey office in the 07458 area.

    • China-based team members and management

Schedule ⏰

Part-time, approximately 20 to 25 hours per week. The schedule is flexible within regular business hours (Monday to Friday), with occasional outside hours to coordinate with China-based colleagues.

Pay Range 💰

USD 24.00 to USD 30.00 per hour

Key Responsibilities 🎯

Finance and Accounting Support 💼

  • Assist with accounts payable, receivable, invoice review, and payment tracking.
  • Organize receipts, bills, vendor records, bank statements, and supporting documents.
  • Support bank, credit card, sales, expense, and account reconciliations.
  • Maintain accurate financial records using spreadsheets, accounting software, and shared files.
  • Prepare financial summaries, expense reports, payment updates, and documentation for management or accountants.
  • Follow up on missing documents, invoice discrepancies, payment inquiries, and approvals.
  • Assist with month-end closing and finance projects as needed.

HR, Recruiting & Interview Coordination 🤝

  • Coordinate recruiting efforts with management and department leaders across locations.
  • Gather hiring requirements, job descriptions, schedules, pay ranges, candidate qualifications, and interview availability.
  • Manage job postings, candidate screening, interview scheduling, and communication.
  • Arrange onsite interviews at California and Pennsylvania warehouses and confirm details with candidates and interviewers.
  • Track candidate statuses, feedback, and hiring progress using spreadsheets and ATS platforms.
  • Assist with offer documents, onboarding checklists, employee files, and new hire paperwork.
  • Support payroll, attendance records, leave tracking, and HR documentation with confidentiality.

Cross-Location Communication 🌐

  • Serve as a central point of contact between New Jersey, warehouse teams, management, and China-based staff.
  • Follow up on HR, recruiting, finance, payroll, and documentation items across all locations.
  • Communicate fluently in both English and Mandarin as needed.
  • Organize action items from meetings, messages, and operational requests.
  • Escalate urgent issues promptly to management.

Office Administration 🗃️

  • Support office organization, document filing, scanning, data entry, and record keeping.
  • Coordinate with teams regarding missing info, deadlines, and document requests.
  • Contribute to improving administrative processes ensuring accuracy and accessibility.
  • Perform additional duties as assigned to support business operations.

Qualifications ✅

  • Bilingual proficiency in Mandarin Chinese and English required.
  • At least 2 years of experience in accounting support, bookkeeping, payroll, HR administration, recruiting, or office management preferred.
  • Experience with interviews, job postings, candidate communication, and onboarding is a plus.
  • Familiarity with QuickBooks, payroll systems, Indeed, MS Excel, Google Sheets, email, and related tools is preferred.
  • Basic understanding of invoices, expenses, reconciliations, employee files, and confidential documents.
  • Strong attention to detail, organization, discretion, communication, and problem-solving skills.
  • Ability to coordinate across multiple locations and time zones effectively.
  • Must work onsite in the 07458 area of New Jersey.
  • Employment is contingent upon verification of legal work authorization in the U.S.
