About the Role ⭐

The Treatment Coordinator plays a vital role in representing our team. Your main responsibilities include scheduling appointments for patients interested in orthodontic care, collaborating with doctors to communicate treatment plans, assisting patients with financing options, and delivering exceptional customer service. Plus, you'll love working with kids — who make up 70% or more of our patient base!

Responsibilities 📝

  • Obtain high treatment acceptance — explain costs, insurance coverage, and financing options.
  • Patient Communication and Education — clearly explain treatment plans and timelines to patients and their families, addressing questions and concerns.
  • Financial Coordination — present financing options, educate patients on insurance and payment plans, and ensure timely payments.
  • Administrative Duties — schedule and confirm appointments, maintain detailed patient records, and handle insurance paperwork.
  • Technical Assistance — operate X-ray machines and assist with clinical tasks when certified.
  • Referral and Satisfaction Tracking — solicit referrals post-treatment and monitor patient satisfaction.
  • Compliance — adhere to all regulations, standards, and company policies with integrity.
  • Additional duties as assigned to support team needs.

Qualifications & Skills 🎓

Education & Experience 🎓

  • High School diploma or GED required
  • At least 1 year of orthodontic or equivalent experience necessary

Required & Specialized Skills 💼

  • Excellent communication and interpersonal skills
  • Sales experience, comfortable discussing costs and payment plans
  • Responsive and proactive in follow-up with patients
  • Proficient in Microsoft Office Suite
  • Ability to understand and communicate orthodontic techniques

Preferred Skills 🌟

  • 3+ years in a dental or orthodontic Treatment Coordinator role
  • Extensive sales or customer service background
  • Knowledge of dental insurance, financing, and collections
  • X-Ray certification and CPR certification
  • Bilingual in Spanish is a plus

Physical & Work Environment ⚕️

The role requires the ability to:

  • Communicate effectively with patients, parents, clinicians, and staff
  • Operate computers and standard office equipment
  • Lift and carry up to 30 lbs, and bend, twist, and stoop as needed

The majority of work occurs in a clinical setting, with flexible hours during peak times to meet business needs.
