Your Role as Operations Coordinator, Special Events 🎯
In this role, you'll coordinate all logistical aspects of our special events, managing planning, implementation, execution, set-up, breakdown, and staff scheduling to ensure seamless events. You'll work closely with internal teams and external clients to deliver exceptional experiences.
Key Responsibilities
- Event Logistics: Coordinate logistics for all events — contracts, game days, off-site, memberships, public, and club events.
- Partnerships: Collaborate with Operations to manage cleaning, staffing, engineering, security, transportation, and parking.
- Administrative Tasks: Handle scheduling, vendor communications, and invoicing.
- Operational Requirements: Implement and fulfill event details outlined in Event Orders and Production Notes from start to finish.
- Event Planning: Prepare layouts, production notes, and communicate details to clients and team members.
- Inventory & Storage: Manage event decor and supplies, maintaining organization and maintenance.
- Venue Safety & Service: Ensure Petco Park spaces meet client expectations and are safe for all guests.
- Event Management: Oversee the entire event cycle, including staffing, vendor coordination, load-in/out, and catering.
- Representation & Troubleshooting: Represent the Club professionally and troubleshoot during events.
- Additional Duties: Perform other tasks as assigned to support event success.
Skills & Expertise 💡
- Proficient in MS Office suite (Word, Excel, Outlook) and basic office equipment
- Strong written and verbal communication skills
- Excellent time management and organizational abilities
- Professional demeanor, discretion, integrity, and accountability
- Reliable attendance and punctuality
Qualifications & Requirements 📋
- Minimum age of 18 at start of employment
- Bachelor’s Degree or equivalent, preferably in Facilities Management or related field
- At least 3 years of experience in Event or Business Operations
- Valid driver’s license with a good driving record
- Fluency in English; bilingual in English/Spanish a plus
- Flexible hours — evenings, weekends, holidays, extended hours as needed
- Ability to travel as required
- Physical ability to access various areas of the ballpark and lift up to 50 lbs.
- Successful completion of pre-employment background checks and requirements
Compensation & Benefits 💰
The hourly rate for this full-time role ranges from $24.04 to $26.44, in accordance with California pay transparency laws. Additional compensation includes eligibility for a commission plan based on goal achievements.
