Position Objective 🎯
The Office Manager plays a vital operational and clinical role, providing 5-Star Service. Responsible for assisting physicians in daily healthcare operations and geriatric patient treatments, the Office Manager reports to the Regional Manager and manages a care team consisting of medical assistants and/or receptionists (typically 3-7 members).
Key Responsibilities 📝
- Oversee, monitor, and improve clinic performance metrics such as HEDIS, admission management, ER utilization, and patient visit rates.
- Manage the clinic staff, including payroll, PTO, hours, and performance reviews.
- Coordinate with providers to ensure high-quality patient care.
- Assist with scheduling, administrative, and clinical duties for providers (mid-levels and physicians).
- Lead daily clinic huddles and assign outreach efforts to team members.
- Ensure efficient, accurate, and patient-focused operations across front and back-office teams.
- Provide exceptional customer service to patients, staff, and other departments.
- Onboard and train new team members according to Better Health Group policies.
- Maintain accuracy of all documentation, including supplies, invoices, referrals, patient records, and medications.
- Advise management on office trends, policies, and workflow improvements.
- Participate in team meetings and communicate updates effectively.
- Keep team calendars, spreadsheets, and whiteboards current.
- Assist providers with credentialing, portal access, licenses, and memberships.
- Ensure compliance with Medicare Advantage, HIPAA, and labor laws, reporting breaches as necessary.
- Perform additional duties as assigned.
Position Requirements & Skills 🎓
- Minimum 4-5 years of Medical Assisting experience (dependent on clinic location and team dynamics)
- At least 1 year of leadership experience
- CPR certification preferred
- Strong commitment to patient care and confidentiality
- Excellent communication skills (oral and written)
- Proficiency in medical terminology and coding
- Knowledge of HIPAA, OSHA, and Biohazard guidelines
- Basic proficiency in electronic medical records and computer skills
- Familiarity with Google Suite and Microsoft Office applications
Preferred Qualifications 🌟
- Bachelor's Degree in healthcare administration or a related field
- Medical Assistant Certification
- Previous medical assisting experience
- Clinical skills including vital signs, medication review, injections, wound care, blood draws, and assisting physicians
Physical Requirements 💪
- Full range of motion, manual dexterity, and eye-hand coordination
- Ability to stand, walk, bend, kneel, and reach for prolonged periods
- Capability to lift and move patients and equipment (up to 15 lbs)
- Normal vision and hearing (corrected if necessary)
- Ability to sit or stand for extended durations
- Must have reliable transportation and operate a motor vehicle

Salary Range 💸
