We are seeking a dedicated and experienced Office Manager to oversee the daily operations of our clinics, ensuring seamless service delivery in sexual and reproductive health, tuberculosis control, and immunizations.

Main Purpose of the Job
This pivotal role is responsible for leading the day-to-day clinic operations, managing administrative tasks, supervising clerical staff, and maintaining efficient workflows to provide uninterrupted healthcare services to the community. The position supervises 2 Fiscal Account Clerks II and involves tasks such as medical billing, policy development, and electronic health record management.
Key Responsibilities
Management of Health Center and Clerical Office Staff πΌ
- Supervise daily clerical operations, record management, and scheduling to ensure efficiency.
- Guide and support clerical staff, acting as liaison between staff and program leaders.
- Oversee maintenance of CureMD EHR, including appointment scheduling and reminder calls.
- Develop and review clerical procedures, maintaining an up-to-date Front Desk Policy Manual.
- Participate in supervisory and bureau meetings; communicate updates and solicit feedback.
- Provide leadership and ongoing development opportunities for clerical staff.
- Offer input on clinic scheduling and capacity planning.
Front-End Billing & Collections Oversight π°
- Manage fiscal operations ensuring accurate data and compliance with audits.
- Collaborate with Billing Specialists to update fee schedules and billing practices.
- Provide estimates to patients and verify insurance eligibility, authorizations, and deductibles.
- Audit coding accuracy; process charges and payments for self-pay patients.
- Oversee collection processes, maintain accounts receivable, and ensure proper documentation of funds and donations.
Customer Service & Client Relations π€
- Provide knowledgeable, solution-focused support to clients and colleagues.
- Utilize language assistance resources to support diverse populations.
- Maintain professional relationships and sensitivity to cultural diversity.
- Update voicemail messages for facility closures and emergencies.
Electronic Health Record (EHR) Management π₯οΈ
- Ensure proper opening, maintenance, and closing of health records in accordance with policy.
- Maintain HIPAA compliance and participate in record audits.
- Manage data entry, consent updates, patient kiosks, and portal registrations.
- Handle record merging and generate monthly statistical reports.
Quality Assurance & Improvement π
- Monitor clerical service quality; implement policies and procedures.
- Identify improvement opportunities, recommend solutions, and document findings.
- Assess training needs and coordinate staff development.
- Conduct daily oversight of staff operations across all clinic sites.
- Participate in data collection and reports for clinical and fiscal metrics.
Staff Supervision & Administrative Oversight π§βπΌ
- Approve leave requests and timesheets; manage staff performance and conduct evaluations.
- Address performance issues per HR policies; facilitate staff hiring and onboarding.
- Provide onsite coverage and assign staff to clinics and off-site tasks.
- Guide ongoing staff education and professional growth.
Additional Duties π
- Maintain broad knowledge of HCHD services and policy updates.
- Participate in drills, emergency responses, and mandatory training sessions.
Minimum Qualifications π
- High school graduation or equivalency.
- At least one year of supervising clerical employees.
- Additional clerical experience may substitute for education; college credits or military service are also acceptable substitutions.
Preferred Qualifications π
- Bilingual in Spanish.
- Experience managing outpatient medical clinics.
- Knowledge of medical billing processes, electronic medical records, ICD-10, and CPT coding.
