Join our team as a Supply Chain Operations Manager – Import and lead all U.S. import activities within our freight forwarding and NVOCC divisions, ensuring compliance, operational excellence, and client satisfaction.
Position Summary
We are seeking a highly experienced and detail-oriented professional to oversee end-to-end ocean and air import processes. The ideal candidate will possess deep knowledge of international logistics, demonstrate strong leadership, and be proficient in CargoWise. Fluency in both English and Chinese is required to effectively support our global partners and clients. This critical role focuses on operational control, compliance, customer retention, and driving long-term business growth.
Key Responsibilities
1. Import Operations Management (Ocean & Air) 🚢✈️
- Oversee the full cycle of import operations, including FCL, LCL, air freight (direct and consolidated), and special cargo.
- Manage documentation such as HBL, MBL, AMS filings, ISF (10+2), arrival notices, delivery orders, and customs coordination.
- Ensure compliance with U.S. Customs regulations, TSA requirements, bonded cargo procedures, and international trade laws.
- Monitor shipment milestones from origin departure to final delivery.
- Coordinate closely with customs brokers, carriers, co-loaders, truckers, CFS stations, and warehouses.
- Proactively resolve shipment delays, documentation issues, customs holds, and carrier problems.
- Maintain strong service performance and meet or exceed client KPIs.
- Oversee demurrage and detention strategies to minimize costs.
2. Compliance & Risk Management 🛃⚠️
- Ensure timely and accurate submission of import filings (AMS, ISF).
- Maintain compliance with CBP regulations, bonded warehouse requirements, and TSA standards.
- Implement internal audit controls to mitigate operational and regulatory risks.
- Stay informed on regulatory changes impacting import operations.
- Manage claims procedures for damaged or lost cargo.
3. Leadership & Team Management 🧑💼🤝
- Lead, supervise, and mentor the import operations team.
- Set performance expectations and KPIs.
- Conduct regular evaluations and coaching sessions.
- Develop training programs for documentation accuracy and system proficiency.
- Manage workload distribution to ensure timely processing and delivery.
- Foster a high-performance, accountable team environment.
4. Process Optimization & SOP Development ⚙️📋
- Develop and improve Standard Operating Procedures (SOPs).
- Identify and address operational bottlenecks for efficiency gains.
- Standardize documentation processes to reduce errors and rework.
- Enhance communication workflows between Operations, Sales, and Accounting.
- Improve shipment tracking visibility and reporting systems.
5. System & Data Management (CargoWise Focus) 💻📊
- Utilize CargoWise for shipment processing, tracking, billing, and reporting.
- Ensure data accuracy and integrity within the system.
- Monitor system usage and enforce compliance with data standards.
- Generate operational KPI reports, including:
- On-time delivery rate
- Customs clearance performance
- Demurrage/detention metrics
- Shipment volume analysis
- Collaborate with management to enhance system automation and reporting capabilities.
6. Cross-Functional Collaboration 🤝🌍
- Partner with Sales for client onboarding and pricing strategies.
- Coordinate with Accounting for billing, accruals, and vendor payments.
- Support customer service initiatives to boost client retention and growth.
- Maintain strong relationships with overseas agents and carrier representatives.
Qualifications
- Minimum 7+ years of experience in Freight Forwarding / NVOCC import operations (Ocean & Air).
- At least 2+ years in a supervisory or managerial role.
- Strong knowledge of:
- U.S. Customs regulations (CBP)
- AMS / ISF filing requirements
- TSA cargo security standards
- Bonded cargo procedures
- Advanced proficiency in CargoWise (required).
- Experience managing the full documentation cycle from origin to final delivery.
- Bilingual in English and Chinese (required).
- Established relationships with carriers, overseas agents, and logistics partners are a plus.
- Strong analytical, problem-solving, and decision-making skills.
- Ability to handle multiple priorities under tight deadlines.
- Leadership presence to build and retain high-performing teams.
