Position Overview

The Medical Receptionist (Care Facilitator) is often the first contact for our patients, serving as a compassionate advocate and delivering exceptional customer service. This role involves check-in and check-out procedures, administrative support, and building trusting relationships with our patients.

Essential Duties & Responsibilities

  • Patient Interaction: Greet, check-in, check-out, schedule appointments, and ensure lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • System Utilization: Use computer programs to update patient info, print forms, respond to emails, and generate packets. Ensure accurate documentation of contact details.
  • Patient Engagement: Conduct “love” calls, mail birthday and greeting cards to commemorate special events.
  • Communication: Answer phones, take detailed messages, and relay information to appropriate staff.
  • Insurance & Appointments: Verify insurance, collect copays, and assist with follow-up or specialist referral scheduling.
  • Patient Comfort & Care: Escort patients to exam rooms and ensure their well-being.
  • HEDIS & Reporting: Monitor HEDIS needs, report hospitalizations, and provide visibility on patient status.
  • Customer Service: Present surveys at check-out, escalate issues for immediate resolution.
  • Team Collaboration: Participate in daily and weekly huddles, sharing insights on patient care.
  • Transportation Coordination: Manage driver lists, medication deliveries, grocery runs, and Uber/Lyft scheduling for patients.

Other Responsibilities

  • Maintain confidentiality of patient data and medical records.
  • Review and ensure accuracy of patient information.
  • Transmit correspondence via mail, email, or fax.
  • Perform additional duties as assigned by management.

Knowledge, Skills & Abilities

  • Exceptional customer service orientation and passion for helping others 😊
  • Knowledge of medical insurance and EMR systems
  • Understanding of ChenMed's products, services, policies, and procedures
  • Proficiency with phones, computers, and basic IT systems
  • Strong communication skills—both verbal and written
  • Attention to detail for report and data accuracy
  • Excellent listening skills and a professional attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Flexibility to travel locally up to 10%
  • Fluency in both English and Vietnamese (spoken and written) 🌏

Education & Experience

  • High school diploma or equivalent required
  • Graduate of a recognized Medical Assistant Program preferred
  • Minimum 1 year of experience in a medical clinic or similar setting
  • BLS certification for Healthcare Providers (preferred)

Compensation & Benefits

The pay range is $14.30 - $20.42 hourly, with final salary based on experience, education, and location. This role may include bonuses or commissions.
