Position Overview: Bilingual Medical Receptionist (Care Facilitator)

About the Role

The Medical Receptionist (Care Facilitator) is often a patient's first contact with ChenMed. You will serve as a patient advocate, greeting and checking patients in and out of the clinic, providing administrative support, and ensuring a smooth experience for every visitor. Your commitment to superior service and compassion will help foster trust and comfort.

Essential Job Duties & Responsibilities

• Patient Interaction: Greet, check-in, check-out, and schedule appointments. Conduct lobby checks to maintain organization and cleanliness.
• Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring top 40 patients are scheduled every 13 days.
• Administrative Tasks: Use computer systems to add patient data, print forms, respond to emails, and prepare New Patient packets. Keep contact information updated.
• Patient Engagement: Initiate 'love' calls, send birthday and greeting cards to celebrate special occasions.
• Communication: Answer phones, take detailed messages, and clearly relay information about ChenMed clinical staff to patients and others.
• Insurance & Appointments: Verify insurance, collect copays, and assist with follow-up or referral scheduling.
• Patient Comfort & Care: Escort patients to exam rooms and ensure their well-being.
• HEDIS & Reporting: Act as a HEDIS champion, monitor scheduled patients, and report hospitalizations and census data.
• Customer Service & Feedback: Present surveys during checkout and escalate concerns as needed.
• Team Participation: Contribute to daily huddles, sharing patient updates.
• Transport Coordination: Manage transportation logistics including Uber/Lyft rides, medication and grocery deliveries, and driver oversight.

Additional Responsibilities

• Maintain confidentiality of patient information and records.
• Review and verify patients’ personal and appointment details for accuracy.
• Transmit correspondence via mail, email, or fax.
• Perform other duties as assigned and modified by management.

Knowledge, Skills & Abilities

• Exceptional customer service skills 🤝
• Familiarity with medical insurance and electronic medical records (EMR systems)
• Understanding of ChenMed products, services, policies, and procedures
• Proficiency in operating phones, computers, and software
• Strong communication skills — professional, courteous, and clear 🗣️
• Attention to detail for accurate reports and data
• Excellent listening skills 🎧
• Positive, professional attitude 😊
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
• Willingness to travel up to 10% locally and regionally
• Fluency in both English and Vietnamese (spoken and written)

Education & Experience Requirements

• High school diploma or equivalent required 🎓
• Preferred: Graduation from an accredited Medical Assistant program
• Minimum 1 year of experience in a medical setting
• Healthcare BLS certification preferred

Compensation & Benefits

The hourly pay range for this position is $14.30 - $20.42. Final salary depends on experience, education, location, and other factors. This role may also include bonuses or commissions.
