As a rapidly expanding primary care provider, we distinguish ourselves with our commitment to excellent patient care and a dynamic team environment. We are currently seeking bilingual (English/Vietnamese) candidates fluent in written and verbal communication to join our team as a Medical Receptionist (Care Facilitator).

Position Overview

The Medical Receptionist (Care Facilitator) is a vital first contact point for our patients, acting as their advocate through exceptional customer service. The role involves managing patient check-ins and check-outs, providing administrative support, and building trusting relationships with patients to promote their well-being.

Essential Duties & Responsibilities

  • Patient Interaction: Greet patients, record information during check-in/out, and schedule appointments. Conduct lobby checks for organization and cleanliness.
  • Scheduling & Coordination: Manage PCP and Specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • Data Management: Use computer systems to update patient information, print forms, respond to emails, and prepare new patient packets. Ensure accuracy in contact details and emergency contacts.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards for special occasions.
  • Communication: Answer phones, take detailed messages, and relay information about ChenMed personnel to patients and staff.
  • Insurance & Appointments: Verify insurance coverage, collect copays, and assist with follow-up and referral scheduling.
  • Patient Comfort & Support: Escort patients to exam rooms and ensure their comfort and well-being.
  • HEDIS & Reporting: Act as HEDIS champion, monitoring scheduled patient needs, hospitalizations, and relevant metrics.
  • Customer Service: Present surveys during check-out and escalate issues for immediate resolution.
  • Team Participation: Attend daily and weekly huddles sharing patient updates.
  • Transportation Coordination: Manage driver and patient transportation, medication and grocery deliveries, and Uber/Lyft rides.
  • Additional Duties: Maintain patient confidentiality, review information for accuracy, transmit correspondence, and perform other tasks as assigned.

Knowledge, Skills & Abilities

  • Exceptional customer service skills and a passion for serving others
  • Understanding of medical insurance and electronic medical records (EMR) systems
  • Knowledge of ChenMed products, services, policies, and procedures
  • Proficiency in operating phones, computers, and software applications
  • Professional, courteous communication with staff, patients, and stakeholders
  • Strong attention to detail and accuracy
  • Outstanding verbal and written communication skills
  • Excellent listening skills and a positive attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel up to 10% regionally
  • Fluency in both English and Vietnamese (spoken and written)

Education & Experience Requirements

  • High school diploma or equivalent
  • Graduation from a recognized Medical Assistant program preferred
  • At least 1 year of experience in a medical clinic or similar setting
  • BLS certification for Healthcare Providers preferred

Compensation & Benefits

The pay range for this position is $14.30 – $20.42 per hour. Final salary depends on experience, education, location, and other factors. Bonuses or commissions may also apply.
