Position Overview: Medical Receptionist (Care Facilitator) 🎯
This vital role is often the first touchpoint for our patients, serving as a patient advocate and delivering exceptional customer service. The ideal candidate is bilingual (English/Vietnamese) with fluency in both written and verbal communication. You will check patients in and out, provide administrative support, and build trusting relationships with our patients.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in, check-out, schedule appointments, and record information. Conduct lobby checks for organization and cleanliness.
- Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring top patient engagement every 13 days.
- Administrative Support: Use computer systems to add patient data, print forms, respond to emails, and prepare new patient packets. Maintain accurate contact information.
- Patient Engagement: Conduct “love” calls, send birthday and greeting cards to celebrate special occasions.
- Communication: Answer phones, take detailed messages, and relay information clearly about ChenMed staff to patients and others.
- Insurance & Appointments: Verify insurance details, collect copays, and assist with follow-up scheduling and referrals.
- Patient Comfort: Escort patients to exam rooms, ensuring their comfort and well-being.
- HEDIS & Reporting: Act as HEDIS champion, monitor scheduled patients, and report hospitalizations and other key metrics.
- Customer Satisfaction: Present service surveys, address escalations, and participate in daily huddles to share patient insights.
- Transportation Coordination: Manage driver lists, medication and grocery deliveries, and schedule Uber/Lyft rides for patients.
Additional Responsibilities
- Maintain patient confidentiality and accurate medical records.
- Review and verify patient information for completeness.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified by management.
Knowledge, Skills & Abilities 💡
- Exceptional customer service and passion for serving others.
- Basic understanding of medical insurance and electronic medical records (EMR).
- Familiarity with ChenMed services, policies, and procedures.
- Proficiency with phones, computers, and common IT systems.
- Strong communication skills—professional, courteous, and clear.
- Attention to detail in reports and data accuracy.
- Outstanding listening and verbal skills.
- Positive, professional attitude with a team-focused mindset.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Willingness to travel locally and regionally up to 10%.
- Fluency in spoken and written English and Vietnamese.
Education & Experience 🎓
- High school diploma or equivalent required.
- Graduation from a nationally accredited Medical Assistant program preferred.
- Minimum 1 year of experience in a medical clinic or similar setting required.
- BLS certification for Healthcare Providers preferred.
Compensation & Benefits 💼
