Position Overview: Medical Receptionist (Care Facilitator) 🩺

The Medical Receptionist (Care Facilitator) is often the first point of contact for patients, serving as their advocate and delivering exceptional customer service. Fluent bilingual skills in English and Vietnamese are required, both written and verbal. This role involves check-in/check-out, administrative support, and building trusting relationships with patients.

Key Responsibilities 🤝

• Patient Interaction: Greeting, checking-in/out patients, scheduling appointments, and recording information accurately. Conduct lobby checks to ensure cleanliness and organization.
• Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring the Top 40 patients are scheduled every 13 days.
• Administrative Tasks: Use computer systems to add patient info, print forms, respond to emails, and prepare New Patient packets. Ensure contact details are up-to-date.
• Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate special events.
• Communication Support: Answer phones, take detailed messages, and relay information clearly to staff and patients.
• Insurance & Appointments: Verify insurance, collect copays, and assist with scheduling follow-ups and specialist referrals.
• Patient Comfort & Safety: Escort patients to exam rooms, ensuring comfort and well-being.
• HEDIS & Reporting: Act as a HEDIS champion, monitoring and reporting on hospitalizations and other metrics.
• Customer Service: Provide survey forms at checkout, address concerns, and escalate as necessary for immediate service recovery.
• Team Participation: Contribute to daily/weekly huddles and share relevant patient insights.
• Transportation & Logistics: Coordinate driver lists, medication and grocery deliveries, and rideshare services for patients.

Additional Responsibilities 📁

• Maintain confidentiality of patient records and personal information.
• Review and verify patient data for accuracy and completeness.
• Transmit correspondence via mail, email, or fax.
• Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities 🌟

• Exceptional customer service and a passion for helping others.
• Knowledge of medical insurance, EMR systems, and healthcare standards.
• Proficiency with computers, phone systems, and basic IT tools.
• Excellent verbal and written communication skills in both English and Vietnamese.
• Strong attention to detail and accuracy.
• Outstanding listening skills and a professional attitude.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
• Willingness to travel regionally up to 10%.

Education & Experience 🎓

• High school diploma or equivalent required.
• Graduation from a recognized Medical Assistant program preferred.
• Minimum 1 year of experience in a medical clinic or similar setting.
• BLS certification for Healthcare Providers preferred.

Compensation & Benefits 💰

The hourly pay range for this position is $14.30 - $20.42. Final compensation depends on experience, education, location, and other factors. Some roles may be eligible for bonuses or commissions.
