Position: Bilingual Medical Receptionist (Care Facilitator) 🩺

As the first point of contact for our patients, the Care Facilitator plays a vital role in delivering exceptional customer service and advocating for patient needs. Fluency in both English and Vietnamese, in spoken and written form, is required.

Key Responsibilities

  • Patient Interaction: Greet, check-in/out patients, schedule appointments, and ensure lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, including maintaining a 13-day scheduling cycle for Top 40 patients.
  • Administrative Support: Use computer systems to update patient information, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Conduct "love" calls, send birthday and greeting cards to celebrate special occasions.
  • Communication: Answer phones, take detailed messages, and accurately relay information about ChenMed clinical staff.
  • Insurance & Payments: Verify insurance coverage, collect copays, and assist with referrals and follow-up appointments.
  • Patient Comfort & Care: Escort patients to exam rooms and ensure their comfort and well-being.
  • Quality & Reporting: Act as HEDIS champion, monitor hospitalizations, and report on relevant metrics.
  • Customer Service & Feedback: Present surveys during check-out and escalate issues for immediate resolution.
  • Team Participation: Contribute to daily and weekly huddles, sharing updates on patient care.
  • Transportation Coordination: Manage transportation logistics, including ride scheduling via Uber/Lyft, medication and grocery deliveries, and addressing behavioral challenges.

Additional Responsibilities

  • Maintain patient confidentiality and accurate medical records.
  • Review patient and appointment information for completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Knowledge, Skills, and Abilities

  • Exceptional customer service orientation and a passion for serving others 😊
  • Proficiency with medical insurance and electronic medical records (EMR systems)
  • Familiarity with ChenMed products, services, standards, policies, and procedures
  • Strong operating skills with phones, computers, and IT systems
  • Professional and courteous communication with patients and staff
  • Attention to detail to ensure data accuracy
  • Excellent verbal and written communication skills 🗣️✉️
  • Great listening skills and a positive attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel regionally up to 10% 🚗
  • Fluency in English and Vietnamese, both spoken and written

Qualifications & Experience

  • High school diploma or equivalent required
  • Medical Assistant certification from an accredited program preferred
  • Minimum of 1 year experience in a healthcare setting
  • BLS for Healthcare Providers preferred

Pay Range & Benefits

Hourly Rate: $14.30 – $20.42

The final compensation will depend on experience, location, and other factors. This position may also be eligible for bonuses or commissions.
