🔑 Job Summary

The Medical Receptionist (Care Facilitator) is a key first contact for patients entering our clinic, serving as a patient advocate and delivering exceptional customer service. This role involves greeting patients, managing schedules, providing administrative support, and ensuring a smooth patient experience—building trust and rapport at every interaction.

🚀 Essential Duties & Responsibilities

  • Patient Interaction: Greet, check-in/out patients, schedule appointments, and maintain lobby organization and cleanliness.
  • Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring top 40 patients are scheduled every 13 days.
  • Administrative Tasks: Use computer systems to update patient information, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Conduct “love” calls, send birthday and greeting cards to celebrate special events.
  • Communication: Answer phones, take detailed messages, and relay information accurately.
  • Insurance & Referrals: Verify patient insurance, collect copays, and coordinate follow-up and referral appointments.
  • Patient Comfort & Support: Escort patients to exam rooms, ensuring their comfort and well-being.
  • HEDIS & Reporting: Champion HEDIS needs, report hospitalizations, and monitor patient care metrics.
  • Customer Service: Present surveys during checkout and resolve issues promptly for service recovery.
  • Team Participation: Join daily and weekly huddles to share patient updates.
  • Transportation & Logistics: Manage transportation, medication, grocery deliveries, and coordinate Uber/Lyft rides for patients.

Other Responsibilities: Maintain patient confidentiality, review and verify patient information, transmit correspondence, and perform other duties as assigned by management.

🧠 Knowledge, Skills & Abilities

  • Exceptional customer service skills with a passion for helping others
  • Knowledge of medical insurance and EMR systems
  • Familiarity with ChenMed’s products, services, policies, and procedures
  • Proficiency with phones, computers, and basic IT systems
  • Excellent professional communication, both verbal and written
  • Strong listening skills and attention to detail
  • Positive, professional demeanor
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to travel up to 10% regionally and locally
  • Fluency in English and Vietnamese, both spoken and written

🎓 Education & Experience Requirements

  • High school diploma or equivalent required
  • Graduation from a recognized Medical Assistant program preferred
  • At least 1 year of experience in a medical clinic or similar environment required
  • Basic Life Support (BLS) certification for Healthcare Providers preferred

💰 Compensation & Benefits

The pay range for this position is $14.30 - $20.42 per hour. Final compensation depends on experience, education, location, and other factors. Eligible for bonuses or commissions.
