Position Overview

The Medical Receptionist (Care Facilitator) is often the first point of contact for our patients. This role involves delivering outstanding customer service, managing patient interactions, and supporting administrative functions with compassion and efficiency. Fluency in both English and Vietnamese—written and verbal—is essential.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet patients, check-in/check-out, schedule appointments, and ensure lobby organization and cleanliness.
  • Schedule Management: Serve as the gatekeeper for PCP and specialist schedules, ensuring top priority patients are scheduled appropriately.
  • System Utilization: Use computers to add patient info, print forms, respond to emails, and generate new patient packets. Maintain accurate contact details.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards for special occasions.
  • Communication: Answer phones, take detailed messages, and relay information clearly about clinical personnel.
  • Insurance & Appointments: Verify insurance, collect copays, and assist with follow-up and referral scheduling.
  • Patient Escort & Comfort: escort patients to exam rooms and ensure their well-being.
  • HEDIS & Reporting: Support HEDIS needs, report on hospitalizations, and monitor relevant metrics.
  • Customer Service: Present surveys at checkout, escalate issues immediately, and participate in team huddles.
  • Transportation Coordination: Manage driver and patient transportation, including Uber/Lyft rides, medication, and grocery deliveries.

Additional Responsibilities

  • Maintain confidentiality of patient information.
  • Review and verify patient details for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities

  • Exceptional customer service and passion for helping others 😊
  • Knowledge of medical insurance and electronic medical records (EMR)
  • Understanding of ChenMed’s products, services, policies, and procedures
  • Proficiency with phones, computers, and basic IT systems
  • Professional and courteous communication skills
  • Attention to detail to ensure report and data accuracy
  • Strong verbal and written communication skills
  • Effective listening skills
  • Positive, professional attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel locally up to 10%
  • Fluency in both English and Vietnamese

Education & Experience Requirements

  • High school diploma or equivalent required
  • Graduation from a recognized Medical Assistant program preferred
  • At least 1 year of experience in a medical clinic or similar setting required
  • BLS certification for Healthcare Providers preferred

Compensation & Benefits

Pay Range: $14.30 – $20.42 per hour

Final compensation depends on experience, education, location, and other factors. Bonus and commission opportunities may also be available.
