🏥 Role Overview: Medical Receptionist (Care Facilitator)

This role is often the first contact for patients, serving as a patient advocate. The Care Facilitator delivers outstanding customer service, manages patient check-ins and check-outs, and provides administrative support. Success in this role involves a strong commitment to service excellence and building trust with every interaction.

🔎 Key Responsibilities

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments. Conduct lobby checks for organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring top patient scheduling every 13 days.
  • System Utilization: Use computer programs to add patient data, print forms, schedule appointments, respond to emails, and generate new patient packets.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards celebrating special events.
  • Communication: Answer phones, take accurate messages, and relay information clearly to patients and staff.
  • Insurance & Payments: Verify patient insurance, collect copays, and assist with scheduling follow-ups and referrals.
  • Patient Comfort: Escort patients to exam rooms and ensure their well-being.
  • Quality & Reporting: Act as HEDIS champion, monitor hospitalizations, and report on relevant metrics.
  • Customer Service: Present survey forms during check-out and escalate issues as needed for service recovery.
  • Team Collaboration: Participate in daily/weekly huddles, share patient updates, and support team efforts.
  • Transport & Logistics: Manage transportation logistics, including Uber/Lyft rides, medication, and grocery deliveries.

📝 Additional Duties

  • Maintain confidentiality of patient information and medical records.
  • Review and verify patient data for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

💡 Knowledge, Skills & Abilities

  • Exceptional customer service skills with a passion for helping others
  • Knowledge of medical insurance and EMR systems
  • Understanding of ChenMed products, policies, and procedures
  • Proficient with phones, computers, and basic IT tools
  • Professional and courteous communication with patients and staff
  • Attention to detail for reports and data accuracy
  • Outstanding verbal and written communication skills
  • Strong listening skills and a positive attitude
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Willingness to travel up to 10% regionally
  • Fluent in both English and Vietnamese (spoken and written)

🎓 Education & Experience Requirements

  • High school diploma or equivalent required
  • Medical Assistant certification from an accredited program preferred
  • At least 1 year of experience in a medical or similar environment required
  • BLS certification for Healthcare Providers preferred

💰 Compensation & Benefits

The hourly pay range is $14.30 - $20.42. Final compensation depends on experience, education, location, and other factors. This position may be eligible for bonuses or commissions.
