About the Role

The Medical Receptionist (Care Facilitator) is a vital first contact for our patients, serving as a patient advocate and delivering exceptional customer service. Fluency in both English and Vietnamese (written and verbal) is required.

Key Responsibilities

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments while maintaining a clean and organized lobby.
  • Scheduling & Coordination: Manage schedules for PCP and specialists, ensuring top priority patients are scheduled every 13 days.
  • Data Management: Use computer systems to update patient information, print forms, respond to emails, and prepare new patient packets. Ensure accuracy of contact details and insurance information.
  • Communication & Follow-up: Conduct “love” calls, send birthday and greeting cards, answer phones, take detailed messages, and relay information about ChenMed personnel.
  • Insurance & Appointments: Verify patient insurance, collect copays, and assist with follow-up and referral scheduling.
  • Patient Comfort & Support: Escort patients to exam rooms and ensure their well-being.
  • HEDIS & Reporting: Act as a HEDIS champion, monitor hospitalizations, and report on relevant metrics like HITS census and ENS Ping.
  • Customer Service & Escalations: Gather patient satisfaction surveys during checkout and escalate issues when necessary.
  • Team Participation: Contribute to daily/weekly huddles with patient updates.
  • Transportation Management: Coordinate Uber/Lyft rides, manage medication and grocery deliveries, and handle behavioral challenges with drivers.

Additional Responsibilities

  • Maintain patient confidentiality and ensure accuracy of personal and medical records.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned by management.

Knowledge, Skills & Abilities

  • Excellent customer service skills and a passion for helping others 😊
  • Familiarity with medical insurance and EMR systems
  • Understanding of ChenMed’s products, policies, and procedures
  • Proficient with phones, computers, and basic IT systems
  • Strong communication, listening, and interpersonal skills
  • Attention to detail and accuracy
  • Professional attitude and positive demeanor
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel up to 10% regionally
  • Fluency in English and Vietnamese, both written and verbal

Education & Experience Requirements

  • High school diploma or equivalent required
  • Graduate from a recognized Medical Assistant program preferred
  • At least 1 year of experience in a medical clinic or similar environment required
  • BLS for Healthcare Providers certification preferred

Compensation

The pay range is $14.30 - $20.42 per hour. Final compensation will depend on experience, education, location, and other relevant factors. The position may be eligible for bonuses or commissions.
