About the Role
The Medical Receptionist (Care Facilitator) is a vital member of our team, serving as a patient advocate and providing exceptional customer service. This role involves greeting patients, scheduling appointments, managing administrative tasks, and ensuring a welcoming environment. Fluency in both English and Vietnamese, written and verbal, is required.
Essential Duties & Responsibilities
- Patient Interaction: Greet patients, check-in/out, and record information accurately. Conduct lobby checks for organization and cleanliness.
- Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring top priority patients are scheduled every 13 days.
- Administrative Support: Use computer systems to add patient data, print forms, schedule appointments, respond to emails, and prepare New Patient packets. Ensure contact information is up-to-date.
- Patient Engagement: Make "love" calls, mail birthday and greeting cards, and celebrate special events.
- Communication: Answer phones, take detailed messages, and convey information clearly to patients and staff.
- Insurance & Payments: Verify insurance, collect co-pays, and assist with scheduling follow-ups and specialist referrals.
- Patient Comfort & Support: Escort patients to exam rooms and ensure their well-being.
- Quality & Reporting: Act as HEDIS champion, monitor hospitalizations, and report relevant data.
- Patient Feedback: Distribute customer service surveys during checkout and escalate issues for immediate resolution.
- Team Participation: Engage in daily and weekly huddles to share patient updates.
- Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.
- Maintain confidentiality of patient information and medical records.
- Review and verify patient data for accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities
- Exceptional customer service skills with a passion for helping others 😊
- Working knowledge of medical insurance and electronic medical record (EMR) systems.
- Familiarity with ChenMed’s policies, products, and standards.
- Proficiency in operating phones, computers, and basic IT systems.
- Professional and courteous communication with patients and team members.
- Attention to detail for accurate reporting and data entry.
- Excellent verbal and written communication skills ✍️
- Strong listening skills and a positive, professional attitude.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Willingness to travel up to 10% regionally.
- Fluent in both English and Vietnamese, spoken and written.
Education & Experience Requirements
- High school diploma or equivalent required 🎓
- Graduation from a recognized Medical Assistant program preferred.
- Minimum of 1 year experience in a medical clinic or similar setting.
- BLS certification for Healthcare Providers is a plus.
Compensation & Benefits
The pay range for this position is $14.30 - $20.42 per hour. Final compensation depends on experience, education, location, and other factors. This role may also be eligible for bonuses or commissions.
